Sash and Frame is seeking an individual to fill the role of administrative assistant.
We are a partner-led company of less than 20 people. We work on high-performance, often high-end, single family residential new build projects all over the US. We specialize in Windows and Doors, both product sales AND installation. Our Northeast office supports these field services all over the US, and product sales in the Northeast.
We are looking for a self-motivated, highly organized, detail-oriented individual, who can take on tasks, requests, and assignments from different members of the company and prioritize them accordingly. You must be able to communicate in a timely, positive, clear manner. You will need to chase details and information from partners, employees, and external sources, without need for frequent oversight or correction. You must be able to work weekends when needed/evenings when needed.
While the administrative role is the first priority, as you settle into the role we would like you to take on more responsibilities based on your strengths and skills without being overburdened, ie marketing, training, inside sales support, etc.
Experience & Qualifications:
- Associates, alternate degree, or certification in Office administration, business management, Bookkeeping, or marketing
- 2-3 years of relevant experience
- Or equivalent combination of education and experience
- Basic understanding of business administration, construction and marketing
- Must be proficient with Microsoft Excel and MS Office Suite
- Familiarity with business bookkeeping and billing software and practices (we use Quickbooks)
- Detail oriented with strong analytical skills
- Above-average communication skills, both written and verbal
- Outgoing, motivated personality
- Valid driver's license to operate company vehicles and access to reliable transportation to and from company warehouse/office
Duties & Responsibilities:
- Documentation of projects for marketing
- Generation and distribution of Marketing materials, including social media updates and maintenance
- Generate estimates and sales documentation from takeoffs
- Invoicing, expense and timesheet auditing, and other billing tasks
- Generating project templates
- Client contact and follow up
- Purchasing and maintaining inventory for stocked supplies.
- Shipping and receiving small parcels and documents
- Scheduling in person and remote meetings, appointments, and visits
- Work extensively with QBO and Microsoft Suite
- Contact and obtain quotes and submittals from new and established vendors
- Document and Folder management
- Maintain your own to do list and backlog to meet deadlines
- Be flexible to accomplish tasks outside traditional administrative roles
- Be attentive, inquisitive, and empathetic to others
- Promote a good image of the company to clients, employees, and vendors

Job Type: Full-time
Pay: $68,000.00 - $72,000.00 per year
