We are seeking a highly organized and proactive Executive Assistant to directly support the CEO by managing confidential administrative responsibilities, with a strong focus on calendar coordination and task prioritization. This position requires flexibility, as some weekends and travel may be necessary when the CEO has speaking engagements or business events.

Key Responsibilities:
- Manage the CEO’s calendar, including scheduling meetings, calls, and appointments (photoshoots, makeup artists, stylists, business engagements, etc.) and assist with daily administrative tasks.
- Serve as a primary point of contact, handling client inquiries via phone and email.
- Track and follow up on deadlines, initiatives, and key tasks to ensure smooth operations with staff.
- Serve as the liaison for accountants, bookkeepers, attorneys, and other external partners, ensuring requests are addressed promptly and documentation is maintained accurately.
- Review and respond to incoming correspondence (email and postal mail) with professionalism.
- Lead, organize, and execute ad hoc projects to support business operations.
- Proofread and edit documents for accuracy and clarity before transmitting via email, mail, or fax.
- Foster positive relationships with internal teams and external partners.
- Maintain strict confidentiality and ensure the protection of company assets.
- Perform additional executive level administrative tasks as needed.
Required Skills:
- Associates Degree Required; Bachelor’s degree in business management preferred
- Ability to exercise independent judgement while adhering to company policies and best practices.
- Exceptional organizational and multitasking skills, with the ability to manage multiple priorities in fast paced setting.
- Self-motivated, proactive, and forward thinker with anticipates needs before they arise.
- Proficient in social media platforms and digital communication tools.
- Professional demeanor with excellent verbal and written communication skills.
- Strong ability to meet deadlines and handle pressure effectively.
- Discretion and sound judgment in handling confidential information.
- High competency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other business applications.
- Experience in administrative support role preferred
