What You'll Do in This Position
Lead or supervise one or more functional areas of project administration, i.e., records control, file administration, word processing, engineering support, or customer administrative support. Responsibilities and duties include improvements of processes in specific areas of administrative services, supervision of project support personnel training, planning, and distribution of workload. Also includes coordination of office services, housekeeping, property management, budget management, department communications, and special project assignments. Reviews work of assigned staff to ensure that project procedures are followed.
Lead and provide cost effective Engineering Administrative Services for large projects, small projects, tasks, and DMM activities and/or department functions to support execution of the design products. Develop process improvements for Engineering Administrative Services. Communicate with internal and external departments and organizations to clarify and coordinate assigned tasks; and resolve difficult administrative problems on the project. May assign and monitor correspondence action items; disseminate management information; review correspondence/reports to ensure proper format. Coordinate activities of visiting off-site personnel. Provide direction to clerical staff. Review workload, schedules, personnel assignments, status of ongoing work. May approve leave requests, evaluate personnel performance, and initiate disciplinary actions. Interpret and/or recommend changes to standards as necessary to ensure that work performed is within established records management guidelines. Evaluate office production and administrative work processes; develop internal operating procedures/guidelines. Monitor work performance for completeness and accuracy to ensure procedural requirements are met. Identify training needs and coach personnel in administrative processes and the use of office computing equipment and software. Interface with Procurement, vendors, and facilities management personnel to ensure the effective operation of mail distribution, telecommunications, office supplies, and general office services. May plan office layouts. Resolve problems related to office equipment, computing, and software needs and prepare and/or review service order requisitions for maintenance of office equipment and/or IHS Library. Schedule and conduct housekeeping audits, and ensure corrective actions are completed. Prepare correspondence, general communications, and/or material for special meetings and presentations; initiates and replies to routine correspondence; compiles and analyzes information, and prepares routine studies and reports. Establish and maintain various manual filing systems, and/or protected property and equipment. Implement a variety of automated registers for tracking and retrieval of management commitments, correspondence, engineering documents, time collection, cost collection, and/or equipment. Monitor automated systems. May monitor data collection and preparation of operating reports, assure accuracy, and reconcile errors. May coordinate employee communications and recognition programs.
Security Clearance Information
SRNS is required by DOE to conduct a pre-employment drug test and background review that includes checks of personal references, credit, criminal records, and employment history, and education verifications. Positions with SRNS may require applicants to obtain and maintain a DOE L or Q-level security clearance, which requires U.S. citizenship. Factors such as pre-employment background review results, dual citizenship status, and unpaid and/or unfiled taxes may impact your ability to obtain a security clearance. This list of factors is not exhaustive; pre-employment information and security clearance requests are reviewed on a case-by-case basis.

High School Diploma, GED, or other equivalent State Credential
Other Qualifications
Must be able to obtain and maintain a Security Clearance.
Qualifications We Desire
College degree in business or related area preferred.
Experience in project administration or supervision preferred.
Working knowledge of Records Management practices and procedures; good understanding of policies, and administrative project procedures and practices.
Detailed knowledge of and experience in engineering document control.
Basic understanding of mathematical and business concepts, theories, and practices.
Proficient in general office applications such as word processing, spreadsheet, graphics, and database software.
Effective oral and written communication skills.
