THE POSITION:
The Accounting & Administrative Specialist supports the success of Save the Sound’s mission by working with the administrative department to support operations. The incumbent will report to the Controller and work closely in coordination with the Human Resources & Office Manager.
The role is a vital member of the administrative team and requires attention to detail, strong organization and interpersonal skills and a keen sense of responsibility.
PRIMARY RESPONSIBILITIES:
- Responsible for the accurate and timely processing of accounts payable, maintaining vendor files and investigating errors or discrepancies
- Process incoming mail daily, notify staff of deliveries and enter donations into the donor database
- Assist the Human Resources & Office Manager with logistical office support in the New Haven, CT and Larchmont, NY offices, including order supplies and liaising with vendors
- Assists with aspects of payroll processing, including entering data into payroll software and creating and entering journal entries
- Assists with accounts receivable tasks, including creating invoices, following-up on payments and maintaining billing schedules
- Assists with month-end functions, including reconciling purchase orders and the company credit card statement and other accounts as assigned by the Controller
- Responsible for preparing and processing bank deposits
- Provides occasional meeting support (food orders, guest greeting, technological assistance)
Shared Organizational Job Responsibilities
- Maintaining positive and productive working relationships with all Save the Sound staff members, including providing and receiving constructive feedback;
- Participating in building productive relationships with Save the Sound's members, external partners, policy makers, and the general public;
- Completing all administrative work on time, such as timesheets, purchase orders, project reports, and planning documents.
QUALIFICATIONS:

Required
- 1 – 3 years of related work experience, preferably in an organization with 50 employees
- Experience with accounts payable, accounts receivable and payroll
- Proficient with Microsoft Office applications
- Good written and verbal communication skills
Preferred
- Bookkeeping certification or associate’s degree in accounting or business administration
- Non-profit experience
- Experience with Blackbaud’s Raiser’s Edge
- Experience with QuickBooks
- Comfortability and proficiency with IT (copiers, computers, etc.)
TERMS & COMPENSATION:
This is an at-will, full-time, non-exempt position, with a salary range of $24.04 - $25.96 hourly, commensurate with skills and experience.
