Savvee Consulting is seeking to hire an Executive Program Coordinator to support our federal client, located in Silver Spring, MD. This position requires onsite support at the direction of the client. Candidates must be a confident self-starters with an acute attention to detail and have the ability to thrive in a fast-paced environment in order to meet and exceed the client’s needs. Previous experience with Smartsheet and executive-level support would be ideal in order to succeed in this position.
Essential Functions
- Serving as the administrative point of contact and liaison between the Information Risk Office (IRO) Director and internal/external customers or other stakeholders
- Providing daily support to the IRO Director, leadership team, and federal staff, consulting on strategic priorities, and offering guidance on project and program coordination
- Consulting with the IRO Director on coordination, monitoring, and communication of project(s) and program(s)
- Managing a variety of special projects beginning with project planning through project close-out while leveraging industry best practices in project management
- Maintaining project dashboards (via Smartsheet), tracking schedules, risks, and actions for IRO oversight as well as the IRO weekly report
- Producing and refining executive-level reports, presentations, and talking points, while also providing strategic insights and recommendations to support the IRO Director’s decision-making
- Maintaining the IRO Director’s calendar, including scheduling meetings, appointments, and speaking engagements, while exercising discretion and evaluating priorities as needed
- Taking meeting minutes/notes, providing executive summaries and action items for IRO approval, and distributing these documents once approved
- Drafting, reviewing, and sending communications on behalf of the IRO Director, ensuring alignment with organizational goals
- Keeping the IRO Director advised of time-sensitive and priority actions, ensuring appropriate follow-up
- Scheduling meetings across divisions; assist in the preparation and distribution of meeting agendas and materials as directed by the IRO Director
- Operating comfortably in a fast-paced environment, multitasking, and adapting to new information in real-time
- Understanding the organizational policies and procedures for accuracy of solutions and deliverables to the client
