The operations coordinator position plays a key role in streamlining our workflow as you link between various departments, employees and clients.
Operations Coordinator Responsibilities:
- Work closely with department leaders to maintain projects and ensure all promised dates are being met across multiple office environment.
- Assist department leaders with weekly reporting requirements including department meetings and management meeting updates.
- Work with department leaders to ensure adequate staffing assigned for projects.
- Ensure client relationship managers are assigned to projects.
- Meet with all members of the department to ensure project promised dates are on track and updated.
- Coordinate with administrative team members to ensure project initiation and route client documents for the assigned preparation methods.
- Ensure project budgets are created and documented and staff assigned.
- Coordinate with other department operations coordinators on timing of projects.
- Work with clients to schedule project delivery dates.
- Assist client relationship managers with contacting clients regarding missing items, coordinate with other department operations coordinators on communication with clients that have projects in other departments.
- Assist all staff with maintaining project status in Office Tools.
- Cross train on processing and delivery of tax returns to ensure the entire process runs smoothly from beginning to end.
- Provide analytical and strategic information to department and firm leaders to ensure successful and efficient operations of the department.
Operations Coordinator Qualifications:
- Several years of experience in administrative support roles or office management
- Excellent written and verbal communication skills
- Highly organized and detail-oriented
- Professional appearance and demeanor
- High level of aptitude in all Microsoft Office projects
- High level of comfort with technology and software applications
