Position Overview
We are seeking a highly motivated and detail-oriented Executive Assistant to the CEO to join our growing eCommerce startup specializing in oil diffusers.
The ideal candidate will be based in Miami, have the flexibility to be on-call when needed, and excel at supporting the CEO by managing day-to-day administrative and operational tasks.
Key Responsibilities
Executive Assistant to the CEO:
- Manage the CEO’s calendar, scheduling, and appointments, ensuring meetings are well-prepared and time is optimized.
- Monitor and organize the CEO’s email inbox, flagging critical communications and drafting responses as needed.
- Coordinate inter-departmental meetings and ensure communication flows smoothly across teams.
- Run errands and attend to personal or professional tasks on behalf of the CEO.
- Prepare presentations, agendas, and materials for meetings.
Qualifications and Skills
- High school diploma or GED is required (preferred Associates Degree)
- At least 2 years of experience as an Executive Assistant
- Bilingual fluency in Spanish and English is highly desirable, with required proficiency in reading, writing, and speaking English.
- Authorization to work in the United States is mandatory.
- Candidates must reside in the Miami area and willing to go to our Doral office during the week.
- Must have reliable transportation.
- Extremely organized with exceptional attention to detail and the ability to multitask.
- Strong communication skills and professionalism in handling confidential information.
- Proactive problem-solver who is resourceful and adaptable.
- Demonstrated ability to work effectively both independently and as part of a team.
- Proficiency in Microsoft Office Suite and familiarity with marketing tools and analytics software.
