Overview
We are seeking a highly organized and detail-oriented Office Manager to oversee the daily operations of our office. The ideal candidate will have a strong background in the construction industry including knowledge of AIA (American Institute of Architects) billing, prevailing wages, payroll, accounts payable, accounts receivable, audit compliance, HR functions, oversight of job costing, and possess a strong comprehension of Foundation software.
Responsibilities:
- Manage all aspects of AIA and non-AIA billing, including preparation of AIA invoices, standard invoices, tracking of AIA contracts, change orders, and ensuring timely collection of payments.
- Calculate and process prevailing wages for all eligible employees, ensuring compliance with federal, state, and local regulations.
- Perform payroll functions, including processing, payment, and record-keeping.
- Manage accounts payable and receivable, ensuring all transactions are accurately recorded and payments are made and received in a timely manner, including monthly recurring payments.
- Conduct regular audits to ensure compliance with Federal, State, and Local requirements including OSHA safety regulations, DOT guidelines, registrations, licenses, permitting, etc.
- Analyze and execute subcontract agreements from general contractors.
- Utilize Foundation software to accurately prepare job cost and financial statement reports for management review.
- Collaborate with office and field managers to ensure accurate financial tracking of construction projects and act as the primary source for the flow of information and collection of data from the field employees to the office.
- Maintain up-to-date knowledge of construction accounting best practices and regulations.
- HR duties including new hire documentation, maintaining and updating the business insurance and motorist policy, managing the company 401k contributions and health insurance plans, etc.
- Assist with the financial operations, documentation, and processes for our organic farm entity.
Qualifications:
- Bachelor's degree in Accounting, Finance, or related field preferred. Will accept relevant experience and professional development in place of a degree.
- Certified Notary Public in the state of Ohio.
- Proven experience in construction accounting, preferably with a focus on AIA billing and prevailing wages.
- Proficiency in Foundation software required.
- Strong understanding of accounts payable, accounts receivable, and payroll processes.
- Excellent attention to detail, multi-tasking skills, and accuracy in all work.
- Strong knowledge of audit procedures and compliance regulations.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and the ability to make sound decisions based on financial data.
