About the Opportunity:

Schap's Sourcing, a recruiting firm specializing in helping small businesses find top talent, is conducting this search on behalf of a growing deck-building construction company. This locally owned business is scaling up and needs a skilled Office Manager to handle financials, calendar management, and day-to-day operations—all while working from the comfort of your home!

Position Summary:

As the Office Manager, you’ll play a vital role in ensuring the company’s operations run smoothly. From managing finances to keeping the company’s schedule organized, your efforts will directly support their continued growth and success.

Key Responsibilities:

  • Financial Management:
  • Process accounts payable and receivable.
  • Create and track invoices, ensuring timely payments.
  • Maintain accurate financial records and collaborate with the company’s accountant for tax preparation and compliance.
  • Scheduling and Calendar Management:
  • Manage the company’s project and client schedule.
  • Coordinate with subcontractors and suppliers to ensure projects meet deadlines.
  • Keep the leadership team informed of key dates and upcoming commitments.
  • Administrative Support:
  • Serve as the main point of contact for clients, vendors, and stakeholders.
  • Organize and maintain digital records, including contracts, permits, and project files.
  • Assist in creating and managing systems to streamline office operations.
  • Communication:
  • Handle emails, calls, and inquiries with professionalism and promptness.
  • Foster positive relationships with customers and partners through effective communication.

Qualifications:

  • Proven experience in office management, administration, or a similar role.
  • Familiarity with bookkeeping software (e.g., QuickBooks) and financial record-keeping.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace.
  • Experience in the construction industry is a plus but not required.
