Job Overview:
An Administrative Assistant at Schmidt’s works under the direction of the operations manager as well as the owner of the company. Tasks are assigned to help with office duties such as: accounts receivable, job tracking, data entry, and purchase order submissions. These tasks are completed using Google Suite and customer relationship management software.
The person who fills this position will write emails or call customers regarding payments, job contracts, and other work. Excellent customer service, written communication and professionalism are essential. This role may require driving company vehicles to drop off checks, pick up and drop off purchased materials, or other tasks as needed.
Responsibilities:
- Process checks and credit card payments.
- Send out monthly invoices.
- Enter notes for jobs and projects completed.
- Use Google Sheets to enter and track materials necessary for landscape projects.
- Send out project contracts and drawings.
- Fill out project worksheets.
- Email or call clients regarding payments and contracts.
- Fill out and send purchase orders to vendors.
- Manage and track inventory of onsite products.
- Pick-up and drop off purchased project materials as needed.
- Water plant inventory.
- Other office duties as needed include: accounts payable, quickbooks submissions, and processing payroll.
Schedule:
This role provides a flexible schedule with a choice of hours Monday - Friday to be discussed at the interview. Most Schmidt crew work 4 days a week with 3 day weekends. Lunch breaks are 30 minutes to 1 hour and can be taken at any time of the day.
Requirements:
You do not need prior administrative experience for this position. However, general writing, math and tech skills are essential to the role.
- A valid driver's license with a clean driving record
- High school diploma or GED
- Exceptional writing skills: good use of punctuation, spelling, and professional language
- Basic math skills: addition, subtraction, multiplication, division and how to calculate percentages
- Type 60 words per minute
- Ability to lift at least 50 pounds
- Ability to walk, lift, bend, and squat.
- Natural aptitude with software and technology
- Excellent attention to detail
- Highly motivated and a self starter
- Professionalism and discretion
Preferences:
- 2-3 years administrative experience
- 1-2 years experience with Google Suite: Gmail, Google Docs, and Google Sheets
- 1-2 years using Quickbooks
- Prior experience with customer relationship management or invoicing software
- Customer service experience
