Duties And Responsibilities
- Receive and respond to requests for district-wide maintenance work orders from administrators and staff. Manage and coordinate flow of information to maintenance staff as well as schools. Make decisions regarding routine/emergency work orders.
- Prepare payment requests and invoices for payment. Communicate with vendors on matters regarding invoice problems and/or product ordering. Maintain requisitions on purchasing and billing. Allocate payments via purchasing card software and verify payments made by Facilities staff.
- Interpret district policies and regulations for administrators, staff, students, and community members regarding building usage, work orders, budget, and work order policies.
- Confer regularly with the Facilities Manager on confidential matters of concern, building usage, work orders, and internal personnel issues.
- Provide confidential support for all department meetings and activities. Deal with all information confidentially and acts in a discretionary and professional manner.
- Receive and respond to requests for district-wide facility usage from administrators, staff, students, and community members. Decide usage requests for approval or disapproval. Manage and maintain contracts, calendars, and generate monthly invoices.
- Edit time sheets and generate monthly records/ time keeping reports for Payroll.
- Attend staff meetings, prepare agendas, and publish minutes and reports.
- Manage and maintain budgets for the Facilities office, review budget to assess actual performance versus budget, and keep the Facility Manager apprised of the status.
- Create, manage, and maintain files on various activities and functions, including facility usage and district work orders.
- Perform other duties as assigned.
- High school diploma or equivalent
- Proficiency in Microsoft Office software.
- Two to three of years of office management and secretarial experience.
- Must occasionally lift and/or move up to 25 pounds.
- Must be able to pass a Colorado and Federal Bureau of Investigation background check.
- Requires oral and written communication, interpersonal, public relations, tact, customer service, diplomacy, problem solving, good mathematical, computer, and basic accounting skills.
- Operating knowledge of and experience with computers, Microsoft Windows, desktop publishing, and general office equipment.
- Operating knowledge of maintenance work order system and facility scheduling system within 2 months after hire.
- Act as a resource for district personnel regarding work order requests and status and by providing training and assistance on the district’s maintenance work order system and facility scheduling system.
