Special Education Administrative Assistant
Qualifications:
- Minimum High School Diploma or equivalent experience.
- Must be detail-oriented with solid project management skills, strong communication and organizational skills, able to work effectively with staff and interact positively with representatives from the community, proficient typing skills, computer experience and knowledge of Microsoft Office (MS Word, Excel, and Access).
Essential Responsibilities:
- Provide assistance to the Director of Special Education
Responsibilities:
- Maintain daily incoming and outgoing mail for the Director of Special Education.
- Maintain Daily Attendance for all of the Special Education Dept.
- Maintain schedule for the Director of Special Education.
- Respond to telephone inquiries, incoming mail, and public walk-ins for the Director of Special Education.
- Facilitate personal correspondence, contracts, board items, gold sheets, requisitions, purchase orders, room bookings, Google Drive, as per the Director of Special Education.
- Maintain inventory of office supplies for the Director of Special Education.
- Publish Legal Ads, Public Awareness Notices, and Impact Ads.
- Coordinate materials for meetings and training sessions as per the Director of Special Education.
- Maintain the Special Education section and calendar on the website including the Day Treatment Services and the Local Task Force section.
- Re-type correspondents including (documents, contracts, letters, etc.) for the Special Education Director and staff.
- Maintain a spreadsheet of all Special Education staff. (Name, Address, Phone, Hire Date, Section, etc.) Update the spreadsheet after the monthly board meetings.
- Design and maintain all of the Special Education Dept. event flyers, website, and social media content.
- Compile data for billings between IU29 and other contracted educational agencies or school districts including out-of-county students. (Itinerant services, PTS, ESY, District Billing)
- Facilitate for the Director’s review and approval the following forms from employees: Time Sheets, Conference Requests, Travel Vouchers, Pre-Approvals, Field Trip Requests, and Reimbursements.
- Facilitate the yearly Audiometer/Booth Calibration and billing.
- Maintain filing systems for hard copies and computer files for the Director of Special Education.
- Facilitate the monthly Safety Committee meetings correspondents including the notices, agendas, accident reports, attendance, minutes, safety walk-throughs, and by-laws. Coordinate and maintain the yearly mandatory safety training and Hands Renewal requirements.
- Maintain and update the para-professional database, including the highly qualified status, keep close communication with the Director and all paraprofessionals to assure all requirements have been met for the school year.
- Review all data entered for accuracy for all related programs and systems.
- Assure the confidentiality of all staff and student information and records encountered through the performance of all assigned duties.
- Assure the confidentiality of all verbal and written communications encountered and/or engaged in through the performance of all assigned duties.
- Other duties as instructed by the Director of Special Education.

Method of Evaluation:
- The Special Education Secretary shall be evaluated annually by the Director of Special Education in accordance with the educational support personnel collective bargaining agreement.
Terms of Employment:
· Employment shall be twelve (12) months per year. Salary and benefits will be in accordance with the educational support personnel collective bargaining agreement.
- Position works 1,800 hours a year.
- Position gets 10 paid holidays, vacation, sick and personal time off.

Work is done mainly indoors but could include outside tasks.
