JOB SUMMARY
Join our team at Scientific Protein Laboratories (SPL), a world leader in biosourced pharmaceuticals, located just outside of Madison, Wisconsin in Waunakee! SPL is an innovative biopharmaceutical leader with unique products and services supporting the pharmaceutical industry globally. For over 40 years, SPL specializes in the development and cGMP compliant manufacturing of Active Pharmaceutical Ingredients (APIs). SPL has an exciting opportunity to join the team as an Administrative Coordinator.
The Administrative Coordinator provides essential support to ensure the smooth and efficient operation of administrative departments. This position is responsible for preparing documentation, maintaining records, coordinating internal communications, and supporting day-to-day logistics and special initiatives. The ideal candidate is organized, proactive, and professional, with strong communication skills and a service-oriented mindset.
This is an on-site role based in Waunakee, WI.
Responsibilities include:
• Coordinate meeting logistics, including support for the Executive team.
• Contribute to the planning and execution of company culture initiatives.
• Act as a go-to resource for employees across the organization.
• Maintain digital filing systems and ensure the confidentiality of sensitive information.
• Support meeting preparation, including drafting agendas, capturing notes, and tracking action items.
• Arrange travel and accommodation for visitors as needed
• Provide support to Human Resources, including coordination of routine tasks or communications.
Additional Responsibilities
• Collaborate with colleagues to draft and distribute internal communications, announcements, and memos.
• Manage office supply orders and coordinate with vendors for office services.
• Handle incoming phone calls and other general administrative duties.
• Identify opportunities for process improvement and support implementation efforts.
Job Requirements and Qualifications:
Education:
High school diploma or equivalent required; associate degree or some college coursework preferred.
Experience:
Minimum 1 year of experience in an administrative or office setting, or in a role demonstrating strong organizational and communication skills. 2–4 years of progressively responsible administrative experience preferred.
•Proficiency in Microsoft Office Suite. Strong written and verbal communication skills. Ability to manage multiple tasks, deadlines, and shifting priorities independently. High attention to detail and discretion in handling confidential information. Collaborative, adaptable, and solution-oriented with a commitment to excellent service.
