We are looking for a responsible and detail oriented Administrative Assistant to perform a variety of administrative and clerical tasks. This is a part time position. Duties of the Administrative Assistant include providing support to our Clinic Director, physical therapists, and other staff, assisting in daily office needs and managing our company's general administrative activities in an active Physical Therapy office. Customer Service Skills are mandatory. This job involves utilizing our EMR (electronic medical record) for patient scheduling and data intake, insurance verifications, and payment collection. The ideal candidate should have excellent oral and written communication skills and be able to organize their work, efficiently use computers, and office equipment. If you have previous experience as a Secretary or Executive administrative assistant in the medical field or familiarity within our industry, we'd like to meet you.
Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact list
- Provide general support to our patients
- Verify Insurances as a courtesy for patients
Skills
- Proven experience as an administrative assistant or office admin assistant preferred
- Customer Service skills required
- Comfort and efficiency with computer use
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
