Position Title: School Secretary/Registrar
Position Schedule: 11 months (209 days)
Location: Scott Elementary School
Reports To: Principal
Start Date: To Be Determined
FSLA: Non-Exempt
Primary Function: The School Secretary/Registrar was established for the purpose/s of completing student enrollment and withdrawal activities; maintaining accurate student records; providing a variety of reports and reference materials; and ensuring compliance with District, State, and Federal guidelines.
Requirements:
- Educational Level: High School Diploma or equivalent. Formal training in office practices and experience preferred.
- Proficiency Skills: Written and oral communication skills, ability to deal with multiple tasks, organizational skills, ability to operate office machinery, computer competence
- Personal skills: Pleasant personality, cooperative attitude, physical skills and stamina to perform essential duties.
General:

Secretary/Registrar:
14. Answers telephone, directs calls, takes messages, and provides information to individuals.
15. Assists the counselor in evaluating transcripts of incoming students for the purpose of transferring grades into the student information system.
16. Complies student records (e.g. birth certificates, transcripts, transfers, immunization, etc.) for the purpose of meeting State, Federal, and/or District Requirements.
17. Maintains a variety of manual and electronic student records (e.g. grade checks, cum files, test scores, student information, etc.) for the purpose of providing up-to-date reference and complying with regulatory requirements and established guidelines.
18. Prepares standardized documents and reports (e.g. form letters and memos, calendars, bulletins, periodic reports, etc.) for the purpose of communicating information to other parties and/or agencies.
19. Maintains accurate and up-to-date data in the student information system according to state and local criteria.
20. Maintains student attendance according to state and local criteria, including posting to student information system, correspondence with parents and staff, and printing reports.
21. Establishes procedures and timelines for inputting data and updating data for State Reporting/Student Records/FTE.
22. Enhances the climate of the building and morale.
23. Maintains and manages files, records, materials, supplies, and equipment in an appropriate, accessible and current manner, including records necessary for reporting and accountability.
24. Maintains discipline records according to state and local criteria, including posting to student information system, student discipline referrals, correspondence with parents, and printing reports.
25. Participates in workshops and staff development activities and applies what is learned to the job, accepts new challenges in a professional manner.
26. Enrolls, schedules, and withdraws students per state and local guidelines
27. Demonstrates loyalty to the school system and administration.
28. Performs all other duties and responsibilities as assigned by the supervisor/principal.
