ESSENTIAL FUNCTIONS
Office Operations Management:
· Oversee all office/administrative functions, ensuring smooth operations daily.
· Manage office maintenance, cleaning schedules, security, and phone systems.
· Handle staff parking arrangements, furniture/equipment inventory and ordering.
· Coordinate equipment management and maintenance, file storage, gift logs, branded materials, travel coordination
· General Office Communications (event notifications, out of office reports, building updates, safety requirements, etcetera)
· Responsible for incoming and outgoing mail and packages.
Front Desk and Hospitality Management:
· Serve as the welcoming face of the firm, managing the front desk and fielding phone inquiries with a professional demeanor.
· Prepare hospitality amenities for meetings and maintain the office kitchen.
· Handle phone systems, including answering calls, taking messages, and directing inquiries to the appropriate person or department.
· Arrange conference rooms for meetings or events, involving lifting up to 50 pounds.
IT and Communications Interface:
· Collaborate with contracted IT support personnel for IT-related tasks.
· Manage IT inventory, asset tracking and assignment.
· Oversee all technology (computers, phones, IT, doors and equipment)
· Implement basic IT functions in partnership with staff and IT support.
· Manage site communication to ensure effective information flow within the team.
Infrastructure and Safety Management:
· Ensure office and kitchen supplies are adequately stocked.
· Maintain site safety protocols, including building access and safety drills.
· Oversee procurement for various non-recurring purchases.
· Keep the workspace organized and presentable for employees and clients.
Office Event Coordination and Logistics:
· Manage, plan, and develop various events.
· Take responsibility for event outcomes, demonstrating executive presence.
· Partner with management to understand event aspirations and target goals.
Other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
· Strong ability to communicate with staff and external contacts, coupled with coordination skills for managing IT support and interfacing with various service providers.
· Prior receptionist, administrative assistant, or customer service experience, preferably in a professional or financial services environment.
· Excellent organizational skills with a keen attention to detail.
· Strong verbal and written communication skills.
· Ability to multitask, prioritize, and manage time effectively in a busy environment.
· Self-motivated, independent, confident, professional, detail-oriented, efficient, and a strong team player.
· Comfortable using office equipment (copiers, printers, fax machines) and basic office software (Microsoft Office Suite, Google Suite, Zoom, Teams).
· Basic understanding of technology and the ability to assist with troubleshooting.
· Professional appearance and demeanor, with the ability to create a welcoming and positive atmosphere.
· Enthusiastic, adaptable, and eager to learn new tasks and skills.
· Ability to maintain a high level of professionalism and confidentiality.

EDUCATION AND EXPERIENCE:
· High school diploma or equivalent required.
WORK ENVIRONMENT/PHYSICAL DEMANDS
- Work in office daily from 8:00am-4:30pm
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
