Southern California United Food & Commercial Workers Unions & Food Employers Joint Benefit Funds Administration, LLC (The Funds) were created more than 40 years ago as a result of collective bargaining between the Southern California Retail Food Employers and the Southern California UFCW Union Locals. The Funds serve in excess of 100,000 participants! There are two Funds, the Pension Fund and the Benefit Fund through which member retirement and health and welfare benefits are provided.
The Funds office is currently seeking for an Executive Assistant , which will be responsible for serving the Controller, Director of Pension & Eligibility, and the Compliance Officer. This role manages information flow, schedules, projects, documentation, materials, and other administrative needs for all four leaders. The Executive Assistant also handles urgent requirements, coordinates and manages events / meetings, and supports projects as they arise.
General Responsibilities :
- Demonstrate excellent judgement to make key decisions in the management of multiple schedules, calendars, and meetings with shifting priorities and the varied needs of executives.
- Conserve the leader’s time by reading, researching, and routing correspondence.
- Provide excellent customer service as a representative of leadership while answering incoming telephone calls, recording and delivering accurate messages, and responding to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Conduct research, compile data and prepare documents for presentations; Prepare reports, letters and other documents for assigned departments.
- Accurately record, organize and share notes and / or minutes from meetings.
- Actively engage with external partners, including Plan Professionals, to ensure timely responses and drive task completion through consistent follow-ups and escalation as needed.
- Build relationships internally and externally including the leadership team, plan professionals, and vendors; provide exceptional service in all interactions.
- Exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
- Maintain office supplies inventory; Maintain office equipment.
- Serve as back-up point-of-contact for coordination of large meetings and Trustee events.
- Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the organization.
- Comply with the policies of the Trust Fund office, as set forth in the Employee Handbook.
- Abide by organizational and HIPAA guidelines, privacy practices, and confidentiality.
- Maintain regular and consistent attendance; Work performed onsite with occasional remote work when business need and performance standards are met.
- Other duties as assigned.
