Summary :
The Assistant General Manager provides confidential administrative, secretarial, and project support to the General Manager and Board of Directors. Responsibilities include meeting preparation, board packet preparation, independent research and preparation of administrative documents, interfacing with homeowners, contractors, Board and Committee members, making independent judgments and decisions regarding Association matters, performing special projects and administrative functions, and attends meetings as designated by the General Manager. The incumbent is also required to have knowledge of the Association's governing documents and overall operations.
Essential Duties and Responsibilities :

- Responsible for the financials of the Association, including the paying and managing of invoices, yearly budget preparation and analysis, and reserve funds management. Responsible for the monthly reporting on the financial performance of the Association and / or for any reports as requested by the Board of Directors.
- Assist in preparation and managing all agreements / contracts to ensure they are executed and implemented appropriately. This also includes enduring subcontractors' adherence to specifications and that work is completed in accordance with the property's standards.
- Ensure adherence to association policies and procedures, and compliance with corporate, civil code, and state and federal obligations. This includes reviewing policies on an ongoing basis and ensuring proper records are maintained.
- Assist the General Manager in providing leadership at each meeting in terms of agenda support, written and oral reports and meeting minute creation and publication.
- Work with the Talent Acquisition department to hire all direct or indirect staff when required
- Train, develop, supervise, and manage the performance of direct associates and assist in the performance management of indirect associates.
- Monitor and evaluate the community needs : identify opportunities for improving customer service and communication.
- Stay abreast of new trends and innovations in fields of community management.
- Ensure all landscape and maintenance issues are proactively addressed.
- Comply with company policies, procedures and attend all company mandatory functions.
- Work closely with committee members and the Board of Directors as directed
- Other projects and opportunities as assigned.

Requirements
Knowledge, Skills and Experience :
Minimum Education :
High School Diploma or equivalent
Language Skills :
The individual must have strong written communication skills, and the ability to communicate effectively with employees and clients at all levels of the organization, both verbally and in writing.
License / Permits / Certifications Required :
Valid Driver's License and State mandated vehicle insurance.
Availability :
Regular business hours and must be available for Board meetings after regular business hours, as necessary.
