Job Summary:
Seabrook seeks a highly skilled and proactive Executive Assistant to provide top-level administrative support to senior executives and contribute to our team's success. The Executive Assistant will manage complex calendars, handle communications, and oversee various office operations to ensure seamless day-to-day activities. This role requires strong organizational skills, exceptional attention to detail, and the ability to maintain confidentiality with discretion. Job Duties and Responsibilities (Essential Functions):
- Provides high-level administrative support and assistance to the CEO, CFO, and/or other assigned leadership staff.
- Manage multiple calendars efficiently, scheduling and coordinating meetings and appointments.
- Arrange travel logistics, including itineraries and accommodations.
- Prioritize and review incoming emails from multiple inboxes, ensuring timely responses and follow-ups.
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Handle day-to-day administrative tasks, including document preparation, filing, correspondence, and report generation.
- Organize and prepare meeting materials and follow up on action items as needed.
- Act as a key point of contact between executives, internal teams, and external stakeholders, ensuring smooth communication and follow-ups.
- Support strategic initiatives and special projects by conducting research, preparing presentations, and tracking progress.
- Maintain a high level of discretion in handling sensitive company information and executive communications.
- Monitor deadlines and ensure timely completion of tasks assigned.
- Performs other duties as assigned.
Knowledge/Skills/Abilities:
- Detail-oriented with the ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Familiarity with Canva for creating materials and presentations.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Ability to work independently, take initiative, and be a proactive problem-solver.
Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Experience in the hospitality or construction industry.
- Knowledgeable with Google Workspace and Microsoft Office Suite.
- All candidates must pass a background check prior to employment.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Indoor/outdoor environment subject to changing conditions and temperatures.
- Ability to stand for prolonged periods of time and walk moderate distances.
- Ability to lift, carry, push, and pull objects weighing up to 25 pounds occasionally.
