General Summary :
The Community Event Specialist is responsible for planning, coordinating, and executing community events and group activities that enhance the vibrancy of the community. This role plays a key part in building positive public awareness and increasing occupancy by creating memorable experiences for residents, prospective residents, and referral sources. The goal is to achieve and maintain a 100% leased and occupied community. This role aligns with theMission, Values, and Goals, while ensuring the safety and well-being of residents.
Essential Job Functions :
Work Schedule :
- 40 hours per week, including weekends and evening hours as dictated by event or marketing needs, under the direction of the Assistant Executive Director.
Community Event Planning and Coordination :
Plan and execute on-site community events, group activities, and resident gatherings that align with Senior Star’s values and goals.Collaborate with internal teams and external vendors to coordinate event logistics, including setup, materials, and schedules.Create an engaging annual event calendar that appeals to residents and potential referral sources.Foster relationships with local businesses, organizations, and groups to enhance event offerings.Ensure events generate opportunities for community engagement and lead generation.Serve as the point person during events to ensure smooth execution, including hosting tours and showcasing the community to prospective residents and families.External Relations and Referral Program :
Host referral groups and luncheons in the building at least twice per week.Establish and maintain partnerships with local organizations, such as AARP and other senior-focused groups.Schedule and deliver marketing presentations aligned with Circle of Influence (C.O.I.) procedures.Actively participate in community service organizations through memberships or board positions.Employ "soft touch" marketing strategies, including hospital visits, funeral attendance, and outreach to referral sources.Meet benchmarks for generating independent living referrals.Distribute marketing materials to targeted audiences.Internal Collaboration and Responsibilities :
Attend stand-up meetings twice per week when on-site.Participate in monthly town hall meetings and weekly leasing meetings.Join rotational operations meetings every three weeks with leasing, marketing, and leadership teams.Support the Community Relations Coordinators and administrative team on internal and external events as needed.Marketing and Leasing Strategy :
Develop and execute quarterly leasing and marketing plans in collaboration with the Community Relations Coordinator / Assistant Executive Director.Integrate residents and ambassadors into marketing efforts to highlight the community's vibrancy.Provide support and ensure a presence at all major community events, ensuring they reflect Senior Star’s mission and values.Administrative Responsibilities :
Record event and marketing performance data in Yardi weekly.Maintain accurate records for administrative tasks, such as petty cash, mileage, and event expenses.Prepare marketing materials and event collateral for internal and external audiences.Knowledge and Strategy Development :
Stay informed about local market trends, competition, and customer values.Use Senior Star’s sales and marketing processes to increase leads and referrals.Collaborate across departments to ensure seamless execution of events and marketing initiatives.Required Education, Knowledge, and Skills :
Event planning and coordination experience required.Retirement industry knowledge helpful but not required.Strong marketing, communication, and interpersonal skills.Creative mindset with a strong eye for detail and organization.Professional attitude and appearance.Honest, dependable, and self-motivated with a proven ability to follow through.A strong desire to improve the lives of seniors, embracing the mission.
