Job Description:
We are seeking a receptive and service-oriented Executive Assistant who is energized by working in a dynamic environment with detailed, time-sensitive tasks and multiple demands.* You will work primarily in an office location in south Overland Park, KS in a client-focused, team-centered environment supporting an executive in charge of business development who also provides financial planning. You will strive for credible results by maintaining a focus on specific preciseness of assignments. Detailed organization and timely execution are critical skills. Written and verbal communication needs to be detailed but thoughtful. Sticking to tasks and schedules and striving for accuracy and closure is critical as you provide high-level administrative support, manage schedules, and handle a variety of organizational tasks. This is a full-time position, in-person, in our south Overland Park office. Some key responsibilities may include Provide high-level executive administrative support * Manage and maintain schedules, including appointments, meetings, and travel arrangements Ensure smooth operation of tasks through detailed organization and timely execution Process emails and route client requests Collaborative local event planning assistance Capture and disseminate meeting outcomes and follow up to make sure next steps are executed
Key Responsibilities:
- Provide high-level administrative support.
- Ensure smooth operation of tasks through detailed organization and timely execution.
- Communicate thoughtfully and in detail, both written and verbally.
- Facilitate document preparation and management which includes drafting correspondence, presentations, and reports on behalf of their executive, ensuring flawless formatting and content.
- Capture and disseminate meeting outcomes while taking diligent notes, document action items, and follow up to make sure next steps are executed to keep projects moving forward and meet deadlines
- Manage and maintain schedules, including appointments, meetings, and travel arrangements.
- Collaborate with Director of Marketing for local event planning.
- Assist with special projects and initiatives.
Qualifications:
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Excellent computer proficiency: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), adobe and AI.
- Some prior experience in a small office environment preferred.
- Ability to handle sensitive information with discretion.
- Receive instructions and learn processes.
- Act immediately and complete work as it arrives, even if it means handling several tasks at once.
- Enjoy working in a changing environment and strive for credible results by maintaining a focus on specific exactness, problem solving and finiteness of assignments.
- Strong interpersonal skills and the ability to build relationships with clients and co-workers. Respectful and exceptional at making people feel welcome and cared for.

Work Schedule:
- Full-time, in-person position. 30-40 hours per week
- Core working hours: 9:00 am to 3:30 pm. (Flexible for school drop off and pick up.)
- Regular Business Hours: 8:00 am to 5:00 pm CT.
- Occasional tasks or events outside regular hours (before 8:00 am or after 5:00 pm), with advanced notice.
- Work in the office, but flexible as needed.
