**Position Overview:**
As an Executive Office Specialist, you will be responsible for a variety of vital administrative functions that support our team and enhance our service delivery. Your role will include managing patient intake, handling insurance authorizations, overseeing month-end close processes, pre-billing, and maintaining medical records, as well as ordering ancillary services. This position requires a proactive individual with strong organizational skills and the ability to multitask effectively in a fast-paced environment.
**Key Responsibilities:**
- Manage patient intake processes, ensuring all necessary information is collected accurately and efficiently.
- Handle insurance authorizations, verifying coverage and obtaining necessary approvals for services provided.
- Assist with month-end close activities, ensuring all financial data is accurately compiled and reported.
- Prepare and process pre-billing documentation to facilitate timely invoicing and revenue collection.
- Maintain and organize medical records in compliance with legal and regulatory requirements.
- Coordinate the ordering of ancillary services, ensuring timely and appropriate delivery of care.
- Collaborate with clinical and administrative teams to ensure seamless communication and workflow.
- Provide administrative support to the executive team as needed, including scheduling meetings and managing correspondence.
**Qualifications:**
- Bachelor’s degree in Healthcare Administration, Business Administration, or a related field preferred.
- Minimum of 2 years of experience in a healthcare administrative role, with a focus on intake, billing, and medical records.
- Knowledge of insurance verification processes and authorization requirements.
- Strong attention to detail and ability to manage multiple tasks simultaneously.
- Excellent organizational, communication, and interpersonal skills.
- Proficient in Microsoft Office Suite and experience with electronic medical record (EMR) systems (Preference to those with HomeCare HomeBase knowledge)
- Ability to maintain confidentiality and handle sensitive information with discretion.
