SEASPAR (the South East Association for Special Parks And Recreation) is a special recreation association providing year-round recreational programs and services to residents with disabilities in the following communities in Illinois: Brookfield, Clarendon Hills, Darien, Downers Grove, Indian Head Park, La Grange, La Grange Park, Lemont, Lisle, Western Springs, Westmont, Willowbrook, and Woodridge. SEASPAR offers year-round programming for all ages and all disabilities, including: weekly social, artistic, cultural, and fitness programs; special events and trips; Special Olympics training; adapted sports; multi-sensory rooms; and much more!
SEASPAR is currently seeking a compassionate, engaged, and detail-oriented candidate for our Administrative Specialist position, which is responsible for performing administrative tasks to support SEASPAR's operations, as well as providing outstanding customer service.
Duties
Assist with program registration, which includes database entry of program information and participant history, accepting walk-in, mail-in, and online registrations, and preparing program rosters and attendance sheets.
Perform necessary public relation duties including greeting office visitors, answering in-person inquiries, and answering, screening, and channeling phone calls.
Maintain and update database of participant information, permissions, medical expirations, and special conditions.
Coordinate program related correspondence, schedules, flyers, and distribute to participants.
Coordinate program related materials for staff.
Coordinate and channel updated information relating to programs, participants, or other informational changes to appropriate staff.
Maintain and update mailing lists.
Perform word processing and proofreading.
Create and maintain queries and reports as requested.
Sort and file materials and maintain filing system.
Operate all office equipment.
Attend appropriate staff meetings, in-service, and workshops.
Perform other job-related duties as assigned.
Essential Functions
Must be able to sit 85% of the workday; to use the telephone, all computer equipment, keep accurate records, and access files in cabinets. Must have mobility for meetings throughout the service area and surrounding areas. Must have regular and predictable on-site attendance.

Required Education and Experience
The Administrative Specialist must have a minimum of two years of successful experience in a similar position. The Administrative Specialist must have strong knowledge of computer-based software including word processing, spreadsheet, and databases. The Administrative Specialist must have knowledge of general computer skills and applications, and preferably registration software (RecTrac experience desired). A general understanding of the theory, purpose, and practice of providing public recreation/special recreation services is strongly desired. The Administrative Specialist should maintain positive and effective working relationships with other employees, clientele, and the public.
Condition of Employment
The Administrative Specialist must pass the pre-placement background check.
Location and Schedule
The Administrative Specialist works at the main SEASPAR office, located at 4500 Belmont Road in Downers Grove. This is a part-time position, working 20 hours per week with regular office hours of 10:00 a.m.-2:00 p.m. Monday through Friday.
Compensation
In exchange for your time and talent, this position offers competitive compensation with a starting pay rate of $18 per hour with annual performance-based pay raises. Other benefits include three work-from-home days per month, paid time off, and a complimentary fitness or pool membership.
