Description

Position Summary: The Volunteer Services Manager plays a key role in supporting Seattle Humane’s mission and growth as a member of the organizational leadership team and ambassador for Seattle Humane volunteers. This role reports to the External Relations Director and manages a team that includes a Volunteer Supervisor and Volunteer & Foster Administrator. The Volunteer Services Manager oversees the operationalization, cultivation and activation of the more than 1,500 Seattle Humane volunteers to support programmatic growth.

 

KEY OR ESSENTIAL FUNCTIONS:

 

  • Responsible for maintaining and continuing to improve an infrastructure to support, operationalize and activate volunteers to support organizational programming.
  • In cooperation with program managers, create opportunities to utilize volunteers' personal skill set, network and professional expertise. Support continuity of operations by filling in, soliciting assistance in the form of volunteers, temps, and fill in for direct reports when necessary.
  • Create a system to track volunteer unique skills and interests to better assist in activation. Find creative opportunities to use volunteer skills to support operations and the organization.
  • Responsible for addressing bottlenecks in volunteer pipeline and developing creative solutions to mitigate these bottlenecks.
  • Oversee and assist in the development and maintenance of training for volunteers, including animal handling.
  • Ensure that the Volunteer Handbook is kept up-to-date and appropriately reflects Seattle Humane policies.
  • Collaborate with colleagues across programs and departments to assess volunteer needs and create strategies for meeting those needs. Support those colleagues in addressing volunteer concerns and performance issues using the progressive discipline steps in the Volunteer Handbook, up to and including dismissal from Seattle Humane.
  • Provide support, coaching and professional development opportunities for Volunteer Services team.
  • Responsible for developing and delivering key metrics and goals in support of the department.
  • Responsible for planning volunteer appreciation efforts, including the annual volunteer picnic.
  • Support colleagues with presentations for schools, youth groups, community organizations and group volunteers.
  • Proactively collaborate with Development to steward our volunteers and engage volunteers in a moves management pipeline.
  • Consult with the External Relations Director on budgetary needs. Continually monitor revenue and expenses in relation to the department budget. Prepare timely operational reports for senior leadership on a monthly, quarterly and annual basis.

 

 

SUPERVISORY RESPONSIBILITY:

Directly supervises Volunteer & Foster Administrator and Volunteer Supervisor.

COMMUNICATION/INTERPERSONAL CONTACT:

  • Daily verbal communication with program and other operational staff and volunteers over the telephone, in meetings, or in person.
  • Daily written communication with staff and volunteers through email, written procedures, memos, or direct mail.
  • Regular contact with clients in person, over the telephone or through email or direct mail.
  • Regular verbal and written contact with other animal welfare agencies.
  • Regular verbal and written contact with administrative staff.
  • Ability to present information to a large group of people.
  • Ability to generate excitement and influence.

 

COMPLEXITY:

High degree of independent judgment required. Must be able to source, cultivate, and analyze data to inform and support decision making. Must be able to coordinate staff and volunteers and remain focused on the agency goals and objectives. A strong attention to detail and the ability to respond to unexpected questions, comments or requests from other departments or the public is required. The ability to motivate, collaborate and mediate is important when handling various personalities and emotions.

Qualifications


KNOWLEDGE/EXPERIENCE/EDUCATION OR TRAINING:

  • The ability and comfort to drive and train others on driving large outreach or transport vehicles.
  • Ability to listen and collaborate effectively.
  • Must possess the organizational and planning skills to determine work priorities and schedules.
  • Training or studies in animal welfare, volunteer management and/or business administration preferred.
  • Must be able to analyze problems, create and collaborate on appropriate solutions.
  • Ideally has at least 3 years' experience in management or supervision of staff or volunteers.
  • Intermediate level knowledge needed of Word and Excel.
  • Must be familiar with Windows environment, internet use and e-mail.
  • Experience with databases and data entry helpful.
  • Bilingual preferred.

 

LICENSES/CERTIFICATIONS REQUIRED:

Valid Washington State driver's license with good driving record.

 

PHYSICAL/MENTAL REQUIREMENTS:

Must communicate clearly and concisely, both verbally and in writing. Requires the ability to solve problems and make clear decisions, sometimes quickly. Must be able to collaborate, organize and manage multiple and complex projects. Requires the ability to pay attention to detail while focusing on strategic goals and objectives. Must possess the ability to be sensitive to other opinions, perspectives, or cultures. Must be able to offer excellent customer service (internal and external). Must feel comfortable in dealing with angry, confused, distraught and/or irrational people. Must be able to lift at least 30 pounds with or without accommodation.

 

WORKING CONDITIONS:

General office and animal shelter environment. When handling animals, there is a potential of animal bites, exposure to zoonotic diseases, animal dander and noise.

Equipment Use: Office equipment, shelter equipment, and all SH vehicles including recreational vehicles

Work Hours: Salaried full-time exempt position. 40 hours per week scheduled. Schedule may vary depending on coverage by other department staff, holidays or emergencies. Must be available evening and/or weekend hours, as well as for emergency calls and alarm responses.
