About The Position
Seattle Rep is seeking a reliable and self-motivated Development Operations Manager to join our fundraising team. The Development Operations Manager will report to the Operations and Individual giving Director and is a key member of the Development Department, which is responsible for raising over $7 million annually in contributed funds. This position is responsible for ensuring timely processing and reconciliation of all contributed gifts, maintaining accurate and consistent donor data, deploying accurate donor acknowledgement letters and supporting administrative functions including large in-house mailings and donor events as needed. Work will be performed in a hybrid in-person/remote environment with the expectation of at least three days in the office each week.

About The Position

Typical Duties Include
60% Gift Processing and Coding
- Process and record all contributions received via various channels into CRM (Tessitura)
- Manage corporate matching gifts, including maintaining matching gift portals
- Provide donor support via phone, email, or other channels to address giving and processing inquiries
- Ensure accurate record keeping of all gifts, including donor designations and restrictions
- Prepare monthly and annual reports to support Finance with reconciliation of all gifts and pledges received, troubleshooting discrepancies as needed
- Assist with annual audit process and tax return preparation by compiling reports and files
- Manage coding of invoices, receipts, and monthly credit card statements for Development
- oversee gift coding and manage the donations inbox to respond to Gift Officers inquires and donor-related gift processing requests
- Track outstanding pledges and provide status updates during recurring team meetings
- Generate and distribute mass and tailored acknowledgement letters and emails within 5-7 business days
- Customize donor acknowledgement for individual and institutional donors based on appeal/campaign
- Provide Cumulative Giving Letters upon request
- Prepare in-house mailing, including solicitation and stewardship pieces by merging, editing, printing, and mailing documents
- Take and distribute notes for Development meetings
- Manage Development supplies, including greeting cards, stationary, and event materials
- Merge, print, and collate event materials
- Provide back-up coverage for key tasks like meeting coordination and donor lounge assistance
- Oversee gala registration and support Raise the Paddle, Live Auction, Raffle gift processing alongside our Business Operations Team
- Assist with donor research and data entry, including portfolio sweeps, Giving Tuesday, Gala, GiveBIG, and various donor cultivation events
- Assist with donor events, tabling, receptions, and meetings as needed
- Maintain documentation on transaction processing, financial reconciliation, and general database operations
- Check for duplicate donor records and update information on donor behavior, contact details, credit card information, and more
- Add constructively to the collaborative and collegial health of the organization
- Add actively and constructively to the equity, diversity, and inclusion work of the organization, including attending all-staff training sessions
- Engage with and strive to embody Seattle Rep's mission, vision, and values in all aspects of work
- Help create a culture of philanthropy among staff, Board members, and donors
- A minimum of two years of administrative experience, preferably in a development or finance role at a not-for-profit or arts organization
- Experience with Tessitura or other comparable CRM systems/databases
- Ability to organize work, set appropriate priorities while working on multiple projects, and meet deadlines
- Very strong attention to detail
- Effective oral and written communication skills
- Good interpersonal sills and comfort interacting with donors, trustees, and other stakeholders
- Ability to manage confidential information with discretion
- Ability to work both independently and collaboratively with a team in a fast-paced yet collegial environment
- Proficiency in Microsoft Office (Work, Outlook, Excel, Teams) with the ability to learn new software and systems quickly
- An ability to work some flexible hours as necessary (typically for donor events, and with advance notice)
- Availability during critical business periods of the theater's year, including final weeks of December, final weeks of June, before and after annual gala, and season launches

- Experience performing similar bodies of work in a not-for-profit organization
- 3 years of administrative experience, preferably in a development or finance role at a not-for-profit or arts organization
- 1 year of experience with Tessitura or other comparable CRM systems/databases
- Interest in developing greater fluency with database management, financial operations, and data analysis/visualization
- An appreciation for professional live theater
- Bachelor's degree or equivalent
