Job Summary:
The Office Manager/Church Administrator will oversee the day-to-day operations of the church, providing clerical support, handling communications, and supporting various ministries. In addition, the role involves utilizing AI tools to automate and streamline tasks such as scheduling, data management, and communication, increasing productivity and optimizing workflows.
Key Responsibilities:
- Clerical & Administrative Support: Provide clerical support for designated departments (faxing, filing, typing, maintaining inventory). Answer phones, screen calls, and forward messages as needed.
- Scheduling & Coordination: Coordinate meetings, events, programs, maintenance, and repairs. Manage the church’s calendar, ensuring no conflicts and maintaining the schedule for the fellowship hall and classrooms.
- Communication & Reporting: Manage church communications, including the website, weekly newsletters, and announcements. Handle correspondence, distribute work assignments, and maintain reports for ministry events.
- AI-Assisted Task Automation: Utilize AI tools to automate repetitive tasks such as scheduling, email responses, document management, and generating reports to improve efficiency.
- Data Management & Reporting: Maintain and organize databases using AI for efficient data entry, analysis, and reporting while ensuring data accuracy.
- Customer Support & Problem-Solving: Provide AI-assisted customer service and use AI tools to research and solve problems, offering quick solutions to improve operational efficiency.
- Office Equipment & Property Management: Maintain office equipment and supplies, manage church property inventory, and track insurance policies.
- Support for Pastor & Ministry Staff: Assist the Pastor with communication, manage their appointment calendar, and distribute work assignments to ministry staff.
Physical Requirements:
- Ability to lift 20-50 pounds occasionally
- Work in a fast-paced office environment with frequent interruptions
Qualifications:
- Bachelor’s degree (required), with a minimum of 3 years of administrative experience.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, etc.), Google Workspace, and AI-powered tools for task automation (e.g., scheduling assistants, chatbots, task automation platforms).
- Strong organizational, communication, and interpersonal skills.
- Ability to adapt to new technologies and quickly learn AI tools.
- Knowledge of data analysis and reporting.
- Ability to handle sensitive and confidential information.
Preferred Skills:
- Experience with AI-driven customer service platforms or chatbots.
- Familiarity with AI-driven data analytics tools and business intelligence platforms.
- Basic understanding of machine learning or data analysis principles.
