Job Summary:

The Mental Health Receptionist is responsible for greeting clients, managing appointments, handling administrative tasks, and providing excellent customer service in a mental health setting. This role requires sensitivity and confidentiality, as well as the ability to handle the diverse needs of patients seeking mental health services.

Key Responsibilities:

  • Client Interaction:
  • Greet and check-in patients, ensuring a welcoming and comfortable environment.
  • Handle incoming phone calls and emails, providing information about services, scheduling appointments, and answering general inquiries.
  • Respond to client questions about services, insurance, and clinic policies with accuracy and professionalism.
  • Collect and update patient information, including personal details and insurance information, in electronic health records (EHR) systems.
  • Appointment Scheduling:
  • Schedule, reschedule, and confirm client appointments, ensuring proper documentation.
  • Notify clients of any changes in appointment times or therapist availability.
  • Maintain accurate and up-to-date appointment schedules for mental health professionals.
  • Administrative Support:
  • Ensure the office is well-organized and supplies are stocked, maintaining a calm and tidy reception area.
  • Prepare client intake forms and assist with the completion of necessary documentation.
  • Assist clients with filling out forms and processing any insurance or billing inquiries.
  • Ensure the confidentiality of patient records and comply with privacy regulations (e.g., HIPAA).
  • Communication:
  • Act as a liaison between clients and mental health professionals, ensuring smooth communication and confidentiality.
  • Relay messages, appointment changes, or other information between clients and therapists.
  • Billing & Insurance Support:
  • Assist with basic billing inquiries and direct clients to appropriate personnel for insurance and billing concerns.
  • Verify insurance coverage and eligibility, ensuring all information is accurate.
  • Crisis Management (If applicable):
  • Recognize signs of crisis situations and, when necessary, alert the appropriate mental health professional to assist.
  • Maintain a calm and professional demeanor when interacting with patients who may be experiencing emotional distress.
  • Other Duties:
  • Perform other office duties as required, such as data entry, scanning, and maintaining patient records.
  • Support any administrative or clinical staff needs related to patient flow and operations.

Qualifications:

  • Education: High school diploma or equivalent; additional training in office administration, health administration, or a related field is preferred.
  • Experience:
  • Prior experience in a receptionist, administrative, or customer service role, especially in a healthcare or mental health environment, is highly desirable.
  • Familiarity with electronic health records (EHR) or similar scheduling and administrative software is a plus.
  • Skills:
  • Strong communication skills, both verbal and written.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Empathy and patience when interacting with clients experiencing mental health challenges.
  • Organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
  • Basic knowledge of insurance processes and billing.
  • Ability to stay calm under pressure and deal with challenging situations.

Physical Requirements:

  • Ability to sit or stand for extended periods.
  • Ability to lift up to 10-15 pounds (e.g., office supplies, filing).

Working Conditions:

  • This position typically works in a clinic setting.
  • Some evening hours may be required, depending on the needs of the clinic or office.

This role is vital to the efficient operation of mental health services and requires individuals who are compassionate, organized, and ready to support both clients and mental health professionals.

Job Type: Full-time

Pay: $16.00 - $18.00 per hour

Expected hours: 40 per week

Schedule:

  • Monday to Friday
