Our main office is located in Hudsonville at 3424 Chicago Drive. Second Story has continued to grow alongside the demand for counseling services. We are opening new locations in Grand Rapids and Holland and are looking for one Office Administrator at each location to assist each respective Site Director and therapist staff. Role and Responsibilities
The primary function of the office administrator is to organize and coordinate office operations and procedures in order to ensure organizational effectiveness and efficiency. They will also provide administrative support to the owner as well as to the clinicians.
Duties include:
- Greet incoming clients in a welcoming and timely manner.
- Answer phone calls and e-mails, providing answers to client questions, handling intake and assisting in scheduling.
- Work with other members of the admin team to schedule intakes and assist clients through the intake process.
- Check in clients for intake and regular sessions and collect payment for services.
- Provide the appropriate forms to the client for intake; gather and upload documentation to the client’s account.
- Assist with the collection of insurance information and coordinating with billing service to process authorizations and eligibility checks.
- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
- Promotes process improvement and inventory control.
- Maintains office services; assigning and monitoring clerical functions
- Maintain the waiting room by making sure it looks presentable (turn lights on, unlock doors, restock coffee bar, etc.)
- Assist in updating and managing clinician calendars.
- Assist therapists with administrative tasks and questions.
- Check mail deliveries and make bank deposits.
- Onboard new hires and train the administrative functions of EMR programs.
- Work with site director to develop and print marketing materials.
- Manage social media platforms, social media presence and blog.
- Assist owner/site director in the day to day administration of the practice.
- Other duties as assigned.
Qualifications and Education Requirements
2 years or more related experience
Minimum: High School Diploma
Preferred: Associates Degree or Higher
Preferred Skills
- Excellent oral and written communication skills, detail oriented and works with a high degree of accuracy, highly organized and flexible, ability to multi-task and meet changing deadlines, must be self-directed and able to complete projects with limited supervision, maintain client and team member confidentiality. Individual will need to have comfort using various computers' systems and must have a working knowledge of email, scheduling, and spreadsheets.

Pay: $17.00 - $20.00 per hour
