Position Summary:
This position provides project management and administrative expertise to ensure the Executive office of the company is efficient and productive. Responsible for a variety of administrative functions, both professionally and personally, in support of the CEO. Interface with company personnel and business partners.
Responsibilities:
- Track deadlines and resolutions of important issues
- Conduct research, data collection and analysis of information
- Review, update and maintain documents to ensure completeness, confirm accuracy of data, resolve discrepancies, ensure compliance, etc.
- Compose routine and transcribe dictated correspondence
- Coordinate meetings, lunch orders, travel arrangements and maintain calendar
- Attend meetings as directed; take notes and provides follow-up action correspondence
- Manage incoming and outgoing phone and e-mail communication
- Foster and maintain strong internal and external professional relationships
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
- Work cross-functionally with other departments to answer questions, and create or update information
- Prepare clear and concise documents including but not limited to reports, procedures, correspondence and other written material
- Event planning responsibilities including but not limited to personal and corporate events
- Manage many aspects of CEO’s professional and personal life in an anticipatory and/or reactive manner
- Additional administrative work as required, including document management and coordination with other team members to ensure processes run smoothly
- Proficient in MS Office, especially Outlook, Excel and Web research
- MLS, GIS, Google Maps and Earth, etc. knowledge a plus
- Additional company specific tasks as necessary
Minimum Qualifications and Competencies:
- 5 years administrative support experience or as a project administrator, preferably supporting CEO, President or Executive
- AA/AS or BA/BS a plus, but not required with significant experience
- Real Estate experience helpful
- High level interpersonal skills with the ability to interact effectively with all levels of an organization while handling sensitive information
- Attention to detail along with excellent organizational skills
- Ability to manage multiple moving parts with limited direction and oversight
- Effective analytical and problem-solving skills
- Excellent follow-up and follow-through skills
- Good attendance and punctuality a must
