The Youth Services Center (YSC) is the District of Columbia’s detention center for male and female youth, responsible for the care and custody of young people placed in secure detention by court order from the DC Superior Court Family Court Division.
Position Description:
The Business Office Manager is expected to support the school-wide goals of creating a high-quality educational program that addresses each of our scholars' individual needs and aspirations. As the “gatekeeper” for many visitors, families, scholar-supporting professionals, and colleagues, the Business Office Manager is often the first point of contact for the organization. The incumbent is expected to act pleasantly and professionally. This position will be in a juvenile correctional setting.
Requirements:Responsibilities
Specific responsibilities will include, but not be limited to:
- Organize and coordinate main office logistics daily
- Maintain a professional and presentable front desk/lobby environment that is organized and conducive to visitors
- Organize and coordinate main office operations and procedures to ensure effectiveness and efficiency
- Ensure all office equipment is consistently operational and that there are necessary supplies on hand at all times
- Greet all visitors professionally and courteously and direct them to the appropriate individual(s) efficiently
- Retrieve visitors and other stakeholders from the front lobby upon arrival and escort to the front desk
- Retrieve packages and mailings from the front lobby to bring to the front desk (i.e., Amazon packages, mailings, etc.), organize and store items, and discard boxes
- Communicate with all stakeholders (in person, by phone, email, mail, fax) professionally, courteously, accurately, and promptly
- Coordinate all general office communication systems, including phone and email correspondence, incoming and outgoing mail, and incoming and outgoing faxes to ensure timely, effective routing of accurate information.
- Produce and distribute the daily update and student roster accurately and timely.
- Manage the daily attendance and sign-in process for staff
- Work with staff to acquire and maintain functioning access badges
- Process and monitor facility work order requests
- Order/purchase refreshments/meals/goodies for various school events in an appropriate and cost-effective manner
- Work with Admin team to produce the monthly report/invoice to DYRS
- Draft and update the annual school calendar
- Support the work of the principal and other staff on an as-needed basis
- Create and/or revise office systems and procedures as required
- Provide routine office support such as bulk copying, mailing, faxing, preparing labels, scheduling, and meeting coordination
- Help to create a positive environment and a culture of hope and high expectations for all students
- Complete other duties as assigned
Qualifications
- High School Diploma or Equivalency (required)
- A Bachelor’s Degree (preferred)
- Experience working with opportunity or justice-involved youth (preferred)
