Job Summary :
Reporting directly to the Chief Revenue Officer and Executive Vice President, Publishing, the Executive Assistant provides administrative support to the Senior Leadership Team. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Chief Revenue Officer and Executive Vice President, Publishing roles; representing the executives to others. This position serves as a liaison to the Board of Directors and senior management teams and oversees special projects. The Executive Assistant will perform a variety of administrative tasks that require independent judgment, discretion, and confidentiality. This position provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Also, the Executive Assistant routinely reviews the work of and provides direction to others to complete projects and assignments in a timely manner.
Duties and Responsibilities :
- Manages and maintains executive schedules, including scheduling travel and conferences, making appointments, and arranging meetings and events.
- Represents the executive by attending meetings in the executive's absence; speaking for the executive.
- Handles highly confidential information with discretion.
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Prepares reports and presentations, collects and analyzes information.
- Develops and manages paper and electronic filing systems, recording information, updating paperwork, and providing retrieval of information.
- Records meeting discussions and provide minutes.
- Prepares executive responses to routine memos, letters, or correspondence.
- Works closely with other executives and administrative assistants at affiliate companies located overseas.
- Executes special projects by assigning work and providing direction to others as needed.
- Capable of critical analysis and hands-on problem solving with short notice, incorporating the knowledge of subject matter experts and multiple team members.
- Interacts with internal and external peers and / or managers to exchange complex information related to assigned activities.
- Receives work in the form of short-, mid-term and long-term assignments that often require use of independent judgment outside of established procedures.
- Working in-office is an essential function of this position. This requirement of face-to-face interaction is in place to ensure effective supervision, collaboration, and teamwork. In-office attendance is required for the following reasons :
For effective supervision of employees and our work product, which includes ensuring all employees have necessary oversight of their work and access to supervisory assistance, which includes meetings to review work product, deadlines, and status.
