POSITION OVERVIEW:

 

SEIU Local 1 is seeking a Special Assistant to the President for a broad and complex set of assignments related to the duties of the Union President. This position reports to the President of the Union and oversees all the President's activities in a manner that reflects the President's priorities and the Union's mission, goals, and values. This position shares the commitment to providing the highest level of responsiveness to a variety of Union stakeholders and maintaining an overall standard of excellence for the staff in the Office of the President and performing other related duties as assigned.

 

PRIMARY RESPONSIBILITIES: 

 
  • Coordinate work of senior staff, Union officers and others in relation to the work of the President.

  • Oversee multiple Union-wide schedules as they relate to the President and determine appropriate resolution of conflicting schedules. 

  • Juggle multiple priorities in a fast paced environment.

  • Coordinates with directors, departments and external parties to ensure that the President has all the necessary materials and background information for events and meetings.  

  • Manage sensitive issues that require confidentiality.

  • Performs various administrative duties including ensuring the operational functions of the President’s Office run smoothly and cohesively, including preparing correspondence, reports,confidential documents and coordination invoices and check requests with the finance team.

  • Managing the President's calendar, including making appointments and prioritizing the most sensitive and important matters, resolving any scheduling issue. 

  • Plan and assist in the preparation of agendas and materials for meetings or presentations held by the President with officers, key staff, members, and employers.

  • Organizing meetings, including scheduling, sending calendar invites, zoom links, reminders and organizing meals when necessary.

  • Organizes and manages meeting and speaking requests and engagements for the President and serves as the primary point of contact between the requestor and President’s office.

  • Coordinates with administrative staff in planning and preparation for Executive Board and Vice President meetings.

  • Be responsive to emails, texts, phone calls, outside normal business hours.

  • Oversees and provides written and oral correspondence for the President office; answers inquiries and returns telephone calls as a representative of the President

  • Compiles expense reports for the International as well as the Local

  • Conserve the President’s time by reading, researching, collecting, and analyzing information as needed, in advance.

  • Produce sound and accurate memos, letters, executive presentations, and complex spreadsheets, while meeting strict deadlines for completion. 

  • Anticipate problems, critical issues, and opportunities as they arise and advise the President accordingly.

  • Other duties as assigned by the President or Chief of Staff.

 

EDUCATION AND EXPERIENCE: 

 

Graduation from an accredited college or university is preferred, and at least seven (7) years of related work experience with at least five (5) years of experience supporting an elected official and/or executive and a combination of education and experience that would provide for the following knowledge, skills, and abilities:

  • Thorough knowledge of office administrative operations.

  • Full knowledge of modern office equipment.

  • Extremely high level of skill in prioritization, logistical planning, and organization.

  • Calendar management.

  • Knowledge of unions and their operations.

  • Time management and ability to meet deadlines.

  • Ability to work independently and exercise a high amount of discretion.

  • Ability to communicate effectively, both orally and in writing.

  • Proficiency in managing multiple tasks and meeting established timelines in a demanding environment using independent judgment.

  • Ability to handle confidential information.

  • Problem solving and decision making.

  • Skill in the use of Microsoft Office Suite including Access, Excel, and PowerPoint.

  • Bilingual (Spanish) or (Polish) proficiency preferred.
