We are currently hiring for an: Executive Administrative Assistant who is proficient in Excel.
Reports to: Office Managers including CFO
Classification: Non-exempt, Hourly
Schedule: 20 - 36 Hours per week (Mon-Thurs 8a-5p, Friday 8a-12p)
Salary: $43,680- 48,672= $23.00 - $26.00 per hour (with opportunity to grow)
Duties:
- Handle daily office administrative tasks including emails, phone lines and messages
- Assists managers in operations and communications to ensure action items are followed through when needed
- Manage relationships and communication with employees, partners, customers and vendors
- Organizing meetings, including scheduling, and sending reminders when necessary
- Must be able to identify and resolve independently issues with calendar and schedule
- Will assist the managers in the preparation, set-up, and follow-up (including scheduling, arranging for equipment orders, drop-off’s, and pick-ups, documenting accurately, and coordinating follow-up items to completion) of the operations for the company.
- Deliver results under aggressive deadlines with the ability to multi-task
- Multi-task and change direction quickly
- Use various computer software’s including Microsoft Excel and Word as well as Gmail suite.
- Proficient in all basic functions in Excel including basic formulas.
- Save documents as PDF’s in correct folders and insert additional documents in Adobe Acrobat Pro.
- Type Work Orders, Estimate Sheets, Picture Sheets, Type Proposals.
- Keep employee uniforms organized at all times. Take inventories and order additional clothes as needed.
Requirements:
- Bilingual is a MUST.
- Must be highly proficient in Excel, Word and Adobe Acrobat Pro.
- Must know how to save documents in correct folders, determine folders, save as different file formats as needed including saving as a pdf.
- 2-5 years administrative experience with excellence in written communications
- 2 years Customer Service experience with the excellence in verbal communications
- Excellent time management skills and the ability to prioritize multiple projects at one time
- Ability to take direction from multiple people and seek direction when uncertain
- Proficient in multiple computer software’s, Typing: 30 WPM
- Ability to sit for long periods of time
- Ability to work in busy work environmentsBenefits:
