Overview
The Office Administrator is responsible for assisting in the efficient operation of the branch office by providing support to the sales associates and team members. This includes handling routine office administrative duties, collaborating with other departments, and working on special projects as needed.
Duties:
- Enter and maintain property listings in the MLS
- New agent setup (business cards, mailbox, birthday list, roster and marketing materials)
- Assist with organizing and supporting office events
- Customize provided brokerage templates, flyers and brochures in Canva
- Ensure office compliance with Berkshire Hathaway HomeServices brand standards, company policies, procedures, and industry regulations (e.g., signage, marketing materials)
- Create and maintain agent files in PowerFlow
- Properly process and X-Service departing sales associates
- Enter and update showing instructions and open house information
- Distribute commission checks to sales associates and assist with any related issues
- Track and collect payments for Errors & Omissions (E&O) fees, Marketing & Technology (MAT) fees, board dues, and MLS dues
- Order and maintain office and kitchen supplies
- Greet guests, sales associates, and clients
- Open and distribute mail and packages
- Manage Supra inventory, checking Supra boxes in and out
- Code incoming vendor invoices and send to Home Office for payment
- Act as a liaison between sales associates and Home Office
- Oversee general upkeep and organization of the office
- Other duties as assigned by supervisor
Skills
- High school diploma or equivalent
- Strong interpersonal and customer service skills
- Proficient in computer use, with experience in Microsoft Office programs
- Highly organized with strong attention to detail
- Ability to manage multiple tasks and remain flexible in a dynamic environment
- Comfortable working in an office with a moderate noise level
- Real estate experience preferred, but not required
