What are the responsibilities and job description for the Document Control Specialist position at Select Technical Staffing?
Major Function: Document Control Specialist’s main responsibilities are to provide direct verification of plant conformance to quality and regulatory standards, to provide support and guidance (written or verbal) to management, staff, and customers, and to provide training to staff as needed. Additionally, to manage and oversee documents for the company’s ISO 9001 and FSSC programs.
Major Duties:
- Maintain quality retains and records following AMS retention policies or practices.
- Conduct Environmental Monitoring according to policy, coordinates and ship samples and maintain records.
- Maintain quality/lab equipment calibrations and documentation of same. * Support ERP efforts for QC functions.
- Act as a primary backup/support for Quality Supervisor.
- Assist with internal housekeeping audits.
- Manage and maintain all controlled company documents.
- Update and control procedure documents and forms.
- Create and manage document hierarchy and process systems.
- Assist and train employees in the use of controlled documents.
- Ensure all documents meet set standards in terms of quality and compliance.
- Coordinate all activities related to the document control procedure, including the distribution of documents and ensuring access.
- Input document data into the standard registers ensuring that the information is accurate and up to date.
- Implement and maintain document control processes and procedures.
- Develop and maintain the comprehensive filing system and computer database for all documents to be retained in the document control center.
- Manage the flow of documentation within the organization.
- Maintain confidentiality around sensitive documentation.
- Prepare reports and audits to help identify document inconsistencies.
- Ensure all documents are up-to-date and accurately reflect current policies and procedures.
- Other similar tasks as assigned by management in support of company objectives.
Physical Requirements:
- Must be able to stand/sit for intermittent durations of time.
- Must be able to carry 40lbs
- Must demonstrate good attention to detail and thoroughness.
- Must be able to read, understand, and communicate complex technical information for projects and training.
- Excellent written, verbal, and interpersonal communication skills.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Must pass background check and pre-employment drug test.
- Familiar with company concepts, practices, and procedures.
- Must be able to perform a variety of tasks utilizing individual initiative.
- Must be able to work with subordinates, peers and superiors in all departments and outside the company.
- Follow company’s food safety, chemical safety, sexual harassment, discrimination and general employee policies.
- Occasionally perform tasks not described in this position description in order to meet the needs of the company or department.
- All staff must report food safety and quality problems to personnel that can initiate action.
- Must obtain HACCP and PMQCI training and certification within six months of employment. Education and Experience:
- A high school diploma or associates degree in Chemistry, Life Science, or related field * Bachelor of Science degree preferred * Minimum 1-2 years of laboratory experience
