Our Operations Manager is responsible for overseeing the daily operations of the real estate agency and investment company, including managing the operations team, coordinating transactions, supporting the owner, and improving business efficiency. This role demands excellent organizational skills, attention to detail, and the ability to juggle multiple tasks in a fast-paced environment. The ideal candidate will be proactive, trustworthy, and customer service oriented, with a strong focus on improving processes and helping the team like it was their own business. This position is not banker’s hours- real estate is 24/7/365! We work a lot, and we work together so no one misses out on the big, important things in life.
Key Responsibilities:
- Assist owner with all tasks both personal and professional, including but not limited to: dropping off dry cleaning, picking up lunch, purchasing gifts, running menial errands, etc. If you read that and feel like it would be beneath you to do these things, please do not apply.
- Provide assistance and guidance to real estate agents to help them meet their goals and increase productivity.
- Plan team meetings complete with agenda and secure sponsors for the meetings.
- Perform general office tasks such as answering phones, managing email inboxes, order and stock office supplies, greet and help people who come into the office, and support the team with various administrative duties.
- Supervise and support operations staff, ensuring smooth workflow and efficient task completion.
- Write and manage real estate offers, oversee transaction coordination, and follow up with all parties involved.
- Develop and implement systems to streamline operations and increase productivity.
- Manage lead distribution, follow-ups, and ensure prompt client responses.
- Manage the owner’s calendar, schedule appointments, manage his email.
- Handle confidential information and financial matters with discretion.
- Coordinate with vendors, ensuring quality service and timely completion of tasks.
- Respond to client inquiries and maintain excellent customer service through effective communication.
- Help track financial and confidential matters, supporting the team with various administrative needs.
- Maintain confidentiality with sensitive information and be trusted with financial matters.
- Maintain and improve systems for lead tracking, task management, transaction coordination, and follow-up.
Qualifications:
- Proven experience in operations or a similar role, preferably in real estate.
- Exceptional organizational, multitasking, and communication skills.
- Proficient in office software and CRM tools, with the ability to quickly learn new systems.
- Strong problem-solving skills and a proactive, detail-oriented approach.
- High level of integrity, professionalism, and confidentiality.
- Ability to work independently and as part of a team, with a "whatever it takes" attitude.
Working Conditions:
- Full-time position including evening and weekend work.
- Office-based, with occasional remote work options.
