The Specialist, Document Production provides editorial support for the SEMI Standards ballot prep and formatting process. This position works with internal staff, business development and publications management, as well as external Program Members. Ballots vary in size and complexity; ranging from one to two pages to hundreds of pages, with multiple tables and figures.
This role requires working cross-functionally, in an independent and highly organized manner to support the creation, review, revision, approval, distribution, storage, and archiving of documents. The Specialist, Document Production is extremely detail oriented and possesses sufficient knowledge of Document Control, including editing and formatting documents.
The Specialist, Document Production role will also be responsible for processing approved ballots for an assigned set of Technical Committees, and will provide support to management for SEMI Standards publication-related information. This position requires strong attention to detail, accuracy, and excellent organizational skills. Self-motivation and strong communication skills are required. Additional assignments include taking on short-term administrative projects as needed.
This is a 6-month temporary, full-time, non-exempt position and reports directly to the Manager, Standards Publications at the SEMI Milpitas Office
DUTIES AND RESPONSIBILITIES
- Develop a thorough understanding of the SEMI Standards Style Manual and MS Word Document Templates. Provide guidance to staff and Program Members on formatting documents using the Style Manual and templates.
- Work closely with cross-functional teams, including product and publications management, and operations to gather information and ensure alignment on documentation requirements.
- Provide editorial support for ballots, reports, training materials, and presentations.
- Ensure the accuracy, consistency, and completeness of technical documents by conducting thorough reviews and validations by adhering to the Regulations , Procedure Manual , Style Manual , and current Document Templates.
- Conduct review of draft ballots for grammar, punctuation, spelling, formatting, and layout. Supply analysis and marked up copy to staff coordinator for technical committee consideration.
- Process approved ballots for electronic publication in compliance with the Style Manual, and create publication proof for review and approval.
- Provide administrative support to Standards management.
- Stay informed about industry trends, best practices, and emerging technologies in technical writing.
- Provide training and support to internal staff on how to effectively use the document authoring tools available.
- Other responsibilities on an as-needed basis, including but not limited to :
Assist with converting approved MS Word documents to pdf and provide final copy for publishing.

The person can effectively prioritize, is highly productive and can meet strict deadlines.
The ideal candidate should have 4 years of technical editing experience in a deadline-driven environment. They have exceptional internal communication skills and a willingness to deliver the highest quality work on time.
