Overview :

The IT Payment Team Coordinator will be part of the Portfolio Delivery Office (which is part of the overall IT Department) and will coordinate the fulfilment and processing of Invoices and Purchase Requests, for the overall IT Department. He / She will provide data entry support using the tools such as Stratton Warren, Smartsheet, and ServiceNow.

The position will be responsible for submitting invoices for payments, tracking invoice payments, processing quote requests, submission of Contracts, and Registering vendors.

This position requires coordination with Purchasing, Accounts Payable, Contracts, Vendor Registration and Team Members within IT and supporting departments as needed. relating to such IT invoices, quotes, contracts or vendors to be registered.

  • Responsibilities :

    Main Duties and Responsibilities :

    • Creates Purchase Requests for Corporate IT in appropriate systems, accurately reflecting account information and following procedures defined by the Purchasing Department.
    • Reviews, Records, and Processes invoices within 24 / 48hrs or receipt.
    • When Purchase Orders have been issued, prepares invoices for submission to Accounts Payable.
    • Reviews status of outstanding invoice approval requests and follows up with approvers to move the payment process forward.
    • Skills Requirements :

      Understands or has knowledge of Stratton Warren to navigate, perform data entry, and research historical payment information.

    • Experience in Excel
    • Preferred knowledge and understanding of the Stratton Warren System, Purchase Requisitions, Purchase Orders, Blanket Purchase Orders,
    • Recommended knowledge in Smartsheet
    • Recommended knowledge of Master Service Agreements and contracts
    • Excellent verbal and written communication, interpersonal skills, and the ability to interact professionally with team members at all levels in a dynamic work environment.
    • Collaboration and facilitation skills within IT and across business area users and management.
    • Highly personable and able to build strong relationships across business groups and with IT personnel.
    • Stakeholder management, including department leaders, vendors and consultants.
    • Autonomous : ability to work with little supervision.
    • Qualifications :

    • 3 years experience in a similar position.
    • Proficiency in MS Office Suite (Word, PowerPoint, Excel, Outlook).
    • Working knowledge of Agilysys Stratton Warren System is preferred.
    • Working knowledge of Smartsheet is preferred.
