The position offers job variety with duties comprised of day to day accounting functions, assisting with the procurement and purchasing functions, and assisting housing programs with fiscal and/or basic grant administration functions. Ideal candidate would show initiative and drive for knowledge and job responsibility growth into Accounting Tech II position.
BASIC FUNCTION
Under general supervision, performs a combination of clerical, bookkeeping and processing duties involving specialized knowledge of financial records and coding, inputting, and accessing information in the accounting system to maintain complete bookkeeping records. Scope, volume, or complexity is limited. Maintain a bookkeeping operation under direction of Supervisor; responsible for completing work in a central accounting systems. Work involves the application of bookkeeping principles in maintaining financial records. May prepare accounts payable, cash receipts, invoices, purchase orders, spreadsheets, draw requests, and journal entries, etc. Able to follow directions to ensure key accounting and office functions are completed.
DUTIES AND RESPONSIBILITIES:
- Responsible for preparing and processing bills weekly, which includes program reimbursement for accounts payable, payroll, and/or any other manual checks and internal reimbursement as needed.
- Responsible for monitoring receivables, communicating with fiscal staff about receivables greater than 30 days and releasing checks to staff or vendors upon receipt of monies.
- Responsible for reconciling daily checks received to the rent receipts report and bank deposits for all programs and deposit types.
- Responsible for reconciling accounts receivable and payable accounts.
- Responsible for maintaining spreadsheets.
- Responsible for cross-checking accounting processes, which include but is not limited to accounts receivable, accounts payable and journal entries.
- Responsible for calculating the management fee, indirect costs, mileage, postage, and copy charges for each program monthly and preparing program journal entries.
- Responsible for processing HAP checks and ACH file creation for direct deposits.
- Responsible for data entry of fixed assets and disposals in fixed asset system.
- Responsible for printing and distributing monthly financial reports.
- Responsible for journal entries assigned by Accountant.
- Assists Accountant as directed to prepare reports and reconciliations.
- Able to assist in backup of Accountant in limited situations and follow written procedures of Accountant to complete key accounting functions and monthly financial close.
- Position requires interpretation and decision making on general office procedures and basic accounting functions.
- Responsible for assigned general office procedures such as mail, supply ordering, and file intake from departments.
- Responsible for processing and intake duties including application processing, logging, mail follow-up, initiation of mailings and procedures.
- Must maintain knowledge for a general understanding of agency computer hardware and software systems to perform job duties.
- Responsible for data and reporting accuracy.
- Other duties as required or assigned.
KNOWLEDGE, ABILITIES AND SKILLS:
- Knowledge of operational systems and computer operations.
- Ability to prioritize and organize workload.
- Knowledge of general office practices and procedures.
- General understanding of organization and able to decern necessary financial impacts.
- Ability to communicate effectively orally and in writing while using proper English.
- Knowledge of general accounting practices and bookkeeping systems.
- Able to maintain spreadsheets, follow directions direction, and meet deadlines.
QUALIFICATIONS:
Graduation from high school or GED equivalent; (2) years of experience in accounting field and/or equivalent education and one (1) year of experience in general office administration. Must be working on an advanced degree or certification in Business Administration or Accounting. Must have knowledge and ability to perform general accounting and bookkeeping functions and communicate effectively both orally and in writing. Must be a licensed driver and have a car available to carry out assignments.
