IT Administrative Assistant

Location : Onsite (Remote work not available)

Employment Type : Contract, with potential for permanent status within 6-12 months

Position Overview

We are seeking a detail-oriented and highly organized IT Administrative Assistant to join our team. This role provides comprehensive administrative support to the Information Technology (IT) department, comprising 21 employees. The ideal candidate will bring strong communication skills, a proactive mindset, and the ability to manage multiple tasks efficiently.

This position is perfect for individuals with administrative or clerical experience looking to transition into the IT field.

Key Responsibilities

  • Procurement : Assist with IT procurement, including obtaining vendor quotes, drafting purchase requests, and tracking invoices.
  • Service Desk Support : Monitor the IT Service Desk system, resolve or escalate customer service issues, and manage work tickets.
  • Office Administration : Manage calendars, process employee performance evaluations, and support onboarding / offboarding activities.
  • Team Support : Provide administrative support to the IT team.
  • User Acceptance Testing (UAT) : Support user acceptance testing as needed.

Required Skills and Qualifications

  • Software Proficiency : Microsoft Office Suite, SharePoint, Service Desk tools (e.g., HaloITSM), Adobe Acrobat, and workflow systems (e.g., Laserfiche / Salesforce).
  • Communication : Strong written and verbal skills for effective interaction with stakeholders.
  • Organization & Time Management : Exceptional ability to prioritize tasks, manage time, and meet deadlines in a fast-paced environment.
  • Administrative Support : Proven experience in scheduling, record keeping, and document management.
  • Problem-Solving : Capability to independently resolve routine administrative issues.
  • Procurement : Basic understanding of procurement processes.
  • Preferred Skills

  • Advanced proficiency in Microsoft Teams and ITSM tools.
  • Experience with process improvement and implementing efficient solutions.
  • Familiarity with project management concepts.
  • Desire for continuous learning and professional growth in IT.
  • Experience and Education

  • Required :
  • 3 years of administrative support experience.
  • High school diploma or GED.
  • Experience supporting IT teams or departments.
  • Preferred :
  • 5 years of experience with IT documentation, procurement, and clerical support.
  • Continuing education or professional development in IT or related fields.
  • Additional Information

  • This is a fully onsite role.
  • Candidates must demonstrate a strong work ethic, confidentiality in handling sensitive information, and the ability to collaborate effectively.
