Position Description
The IT Administrative Assistant provides comprehensive administrative support to the Information Technology (IT) section. This role involves a variety of tasks and requires independent decision-making and problem-solving using knowledge of organizational practices, functions, and regulations. Key Responsibilities :
Procurement : Assist with IT procurement processes, including obtaining vendor quotes, drafting purchase requests, and tracking invoices.
Service Desk Support : Monitor the IT Service Desk ticketing system, resolve or escalate customer service issues, and manage work tickets.
Office Administration : Perform typical office administration duties such as managing calendars, processing employee performance evaluations, and supporting onboarding / offboarding activities.
Team Support : Provide administrative support to functional teams comprising 21 employees.
User Acceptance Testing (UAT) : Support user acceptance testing activities as needed. This position requires a highly organized and detail-oriented individual with excellent communication and interpersonal skills. The ideal candidate will have a strong understanding of IT processes and the ability to work independently and as part of a team.
Skills Required
Software Proficiency : Microsoft Office Suite, SharePoint, Service Desk software (e.g., HaloITSM), Adobe Acrobat, workflow systems (e.g., Laserfiche / Salesforce), and database experience.
Communication : Excellent written and verbal communication skills, including drafting clear and concise emails, memos, and reports. Strong interpersonal skills for interacting with internal and external stakeholders.
Organization & Time Management : Highly organized with meticulous attention to detail. Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
Administrative Support : Experience providing administrative support in a professional setting, including scheduling, document management, and record keeping.
Project Management Support : Familiarity with project management concepts and artifacts (e.g., project charters, status reports).
Procurement : Basic understanding of procurement processes.
Typing & Data Entry : Proficient typing skills and accurate data entry.
Problem-Solving : Ability to identify and resolve routine administrative problems independently.
Teamwork : Ability to work collaboratively with IT staff and other departments.
Confidentiality : Ability to maintain confidentiality of sensitive information.
Skills Preferred
Software Proficiency : Advanced proficiency in Microsoft Teams. Experience with help desk systems and IT Service Management (ITSM) tools is a plus.

3 years of administrative support experience in a professional setting.
Proven experience supporting IT teams or departments.
Proficient in Microsoft Office Suite, SharePoint, and relevant software.
Excellent communication, organization, and time management skills.
Strong problem-solving abilities and attention to detail.
Experience Preferred
5 years of related experience, including clerical and documentation support for IT projects and development activities, drafting / editing IT-related agreements, SOWs, purchase requests, procurement documents, and IT training materials.
Education Required
High school diploma or a GED certificate
Education Preferred
