We are seeking an experienced and highly motivated Office Manager to join our dedicated team, servicing Brookfield, Butler, Delafield, Pewaukee, Elm Grove, New Berlin, North Prairie, Wales and Waukesha. In this role, you will oversee three categories :
Caregiver Management :
- Assist with the full caregiver life cycle :
Manage job ads and applicant tracking
Coordinate and schedule caregiver interviews / perform on the spot walk in interviewsProcessing applications (interviews, reference checks, background checks)Preparing onboarding paperwork with your payroll processor and also at the onboarding / orientation session at your officeDevelop and maintain new hire packets and employee handbooksInviting caregivers to orientationInput caregiver data into the home care software / cross reference for accuracyInvolvement in Training caregivers in the Center of ExcellenceManage caregiver schedulesResolve paycheck issuesTracking driver's license & auto insurance & testsManage caregiver timekeeping :Data-entry of clients and caregivers hours into software system
Helping caregivers with clock in / out questionsOrganize timesheets with the scheduling calendar in the home care softwareTrack and report late, missing, or incorrectly filled-out timesheets to managementClient Relations :
Cultivate strong client relationshipsPrepare and distribute client welcome packetsManage client leads in the Contact Manager, including mailing appropriate materials and ensuring accurate record-keepingMaintain organized and accessible client filesResolve any billing inquiries with the client accountFoster effective communication with clients, families, caregivers, and other stakeholdersOffice Operations :
Answer and screen incoming phone calls professionally and courteouslyPerform general office duties as assignedPlay a crucial role in the day-to-day operations of our officeOrdering office suppliesEnsure smooth and efficient administrative support to our caregiving teamMaintain accurate client and employee recordsJob FairsPosting on Social MediaIdeal Candidate :
2 years of experience in home health or related field (required)Familiar with a variety of home care concepts, practices and procedures1 years of experience in management, recruiting, and HR on-boardingThorough understanding of State Regulations for Home HealthExcellent organizational, communication, and interpersonal skillsProficiency in Microsoft Office Suite and other relevant softwareStrong problem-solving and decision-making abilitiesStrong organizational skills and the ability to manage prioritize tasks effectivelyExudes a positive and compassionate attitude with strong commitment to providing exceptional customer serviceTeam player, excellent verbal and communication skills, adaptable in different situations, possesses excellent client interaction skillsWe Offer :
