Essential Duties and Responsibilities
- Assumes all duties delegated by the ownership through the management companies, assigned Divisional Director of Operations, and community Board of Directors (when applicable).
- Responsible for ensuring the safety and security of all residents and staff.
- Operates the community in full compliance with local, state, and federal regulations, including the maintenance of all appropriate licenses; maintains records per state and federal requirements.
- Responsible for the day-to-day performance of the community and meeting customer and financial expectations as set forth for the community operations. Develops and maintains programs to meet established community policies and goals.
- Manages revenue and expense control, including labor, in accordance with company policies and procedures; helps prepare annual budget and provides feedback and review during budgeting process.
- Oversees emergency preparedness efforts; prepares and coordinates emergency preparedness plan; ensures the community is continuously supplied, staffed, and covered for emergencies; develops and maintains fire and disaster plans; instructs employees and conducts training drills.
- Develops list of items for long-term capital expenditures annually or as requested by SSA ownership/management company.
- Delegates authority over the community to appropriate personnel during absences.
- Follows and implements personnel policies in accordance with SSA management procedures.
- Oversees maintenance of the physical plant.
- Maintains current agency and service contracts as required and directed.
- Assumes overall leadership and administrative responsibility for the community; delegates responsibilities in accordance with general objectives, policy, and procedures.
- Establishes and maintains the professional image and reputation of the community within the local area; establishes and maintains working relationships with key local leaders who have interest with housing for elderly people.
- Ensures service is delivered in a non-institutional manner, within a warm and friendly environment.
- Develops positive working relationships between staff, residents, and resident representatives.
- Makes recommendations to the assigned Divisional Director of Operations regarding matters and issues requiring policy decisions and/or changes.
- Maintains records, funds, statistics, licenses, and inspection reports per company procedures and in compliance with governing agencies.
- Manages fiscal activity and supports marketing programs to achieve budgetary and occupancy goals; authorizes and is responsible for purchase of supplies and equipment within established guidelines.
- Participates in committees and meetings relating to management, fire/safety, marketing, event planning, and strategic planning.
- Serves as the primary back-up when the Marketing and Sales Director is not available.
- Conducts ongoing review of leads to support marketing focus.
- Assists and interacts as appropriate during the touring process; ensures prompt assessment of potential residents.
- Ensures minimum turnaround time for vacated apartments and verifies readiness prior to move in.
- Responsible for the new resident move-in process including the collection of reservation receipts, coordination of assessment, introduction with families and staff members, and interaction and follow up with referral sources and involved health care professionals to ensure a smooth move-in process.
- Assists with development of ongoing marketing plan; supports and participates in marketing efforts, including events, follow-up, outreach, and lead tracking.
- Creates a competitive edge for the community by identifying a niche in the local area and ensuring a quality service delivery program.

Supervisory Responsibilities
This position directly supervises all department heads within the assigned community. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. The Executive Director must review potential disciplinary actions with assigned Divisional Director of Operations before acting. This position is also responsible for supervising and overseeing outside agencies and consultants.
