Summary of Position
This position oversees all day to day operations in the Shipping Department. The Shipping Supervisor is responsible for the overall Shipping and Labeling of orders in small boxing, large boxing and labeling. The Shipping Supervisor works directly with the Post-Production Floor Manager to create the short- and long-term goals for the Shipping Department. They are responsible for developing and maintaining training programs and establishing, documenting and maintaining workflow systems and procedures. This position oversees all Shipping Technicians.

Duties and Responsibilities
  • Ensure that the Shipping department is properly staffed to process the orders entering the department.
  • Manage the workflow in all areas of shipping, delegate staff as needed to assist in this function, assure that workflow remains consistent with procedures developed in cooperation with the Floor Manager.
  • Assure that boxing is completed per specifications and requirements in terms of placement of labels, stickers, etc. on boxes and that boxes are produced to specifications requiring consistency and quality.
  • Anticipate staff needs during daily activities, notify the Invoicing Supervisor with as much advance notice as possible that additional staff will be needed in shipping, and when that staff will be needed.
  • Monitor labeling area to assure that staff is properly trained in labeling and encourage communication from all staff about unusual occurrences they experience while processing shipments.
  • Schedule and facilitate regular department meetings to review department status, staffing, safety reminders and goals.
  • Monitor workflows and seek out opportunities for continuous improvement.
  • Develop and monitor training programs for every task in the department
  • Validate training methods by active involvement in the training process and measuring results.
  • Facilitate on-boarding of new hires including training and establishing partnerships
  • Set and maintain employee schedules using Paylocity, including corrections and time off
  • Recognize and reward individual and team performance
  • Collaborate with Floor Manager to establish performance metrics and measure individual performance (output, quality, teamwork, attitude)
  • Determine required skills and competencies for Shipping technicians.
  • Collaborate with Floor Manager and Human Resources to develop job descriptions and update job descriptions as positions change and evolve.
  • Interview and select the most qualified candidates.
  • Work in conjunction with other Floor Managers and other Post Production Supervisors to create and implement cross training programs.
  • Provide input to the Floor Manager about workflow procedures and issues as observed in Production and Post Production Departments that could impact policies and procedures in Post Production.
  • Provide immediate support to Shipping staff within the areas of responsibility by regular, positive interaction.
  • Perform regular evaluations of the materials and equipment used and make recommendations for upgrades or alternative options.
  • Ensure reports of equipment malfunctions or concerns are reported to the Facilities Manager.
  • Through observation and regular communication with staff, identify and address all safety concerns including use of PPE.
  • Through observation and regular communication with staff, identify and address all security of photographic images concerns.
  • Work with the Floor Manager to provide quarterly reports on the overall status and health
  • Escalates employee concerns or complaints in a timely manner to Manager
  • Models appropriate cooperative and compliant behavior and insures interactions with others are professional
  • Maintains composure under difficult circumstances and addresses concerns privately with Manager
  • Stays focused on quality work production and limits interruptions of the workflow
  • Accepts constructive feedback professionally and incorporates into work production
  • Treats others with respect, especially during difficult interactions
  • Gives positive feedback to employees on successful work accomplishments

Skills Required

  • The ability to maintain an open and friendly demeanor under the pressure of tight deadlines and heavy workload.
  • The ability to prioritize workload coming into Shipping Dept using statistical and observational analysis.
  • Can skillfully adapt their approach and communication to accommodate a wide range of employee personalities.
  • Good judgment.

Experience
  • MS Office, Google Docs, Google Sheets, Paylocity, Labworks and DP2, as appropriate

Availability
  • Must be reliable and punctual
  • Ability to work overtime, including some weekends, depending on production needs of the department when required
