Roles and Responsibilities
Administrative Support
- Manage the Head of School’s calendar, schedule appointments, and arrange meetings to optimize efficiency and preparedness.
- Coordinate travel, itineraries, and expense reporting for the Head of School.
- Prepare correspondence, reports, presentations, and other documents on behalf of the Head of School and the K-8 campus, ensuring accuracy and professionalism.
- Handle sensitive and confidential matters with discretion and a strategic approach to information flow.
- Serve as a key point of contact for the Main Office, including health announcements, office supply management, and requests for records and other materials
- Support the Assistant Head of School’s calendar, substitution teacher coverage, student record collection, and injury management.
- Collaborate with other office staff to maintain coverage and implement protocols supporting an efficient and welcoming office environment.
- Manage communications between the Main Office and other administrative offices, prioritizing responses based on urgency and importance.
- Lead logistical coordination for Main Office-related tasks during school-wide events.
- Anticipate the needs of the Head of School and Main Office, prioritizing tasks to ensure timely completion of key priorities.
- Maintain efficient filing systems for physical and digital records, ensuring data accuracy and accessibility.
- Identify and execute process improvements to enhance organizational effectiveness for the Head of School and Main Office operations.
- Optimize the Head of School’s schedule by minimizing disruption, ensuring focus time.
- Coordinate with departments to meet deadlines and follow through on key initiatives.
- Maintain a long-term perspective while managing daily priorities.
- Coordinate Board of Trustees and committee meetings, including scheduling, preparing, and posting materials, and distributing minutes and follow-up actions.
- Provide administrative support to the Board President, Secretary, and the Head of School for Board-related correspondence and reports.
- Organize logistics for Board and committee meetings and related events.
- Act as a key liaison between the Head of School, Main Office, faculty, staff, parents, and students, fostering clear and effective communication within the school community.
- Manage incoming inquiries and correspondence directed to the Head of School and Main Office, ensuring timely and professional responses.
- Serve as a resource for faculty and staff regarding tasks and procedures.
- Demonstrate strong interpersonal and conflict resolution skills when interacting with diverse stakeholders.
- Respect cultural differences, supporting an inclusive environment aligned with the school’s Diversity, Equity, Inclusion, and Justice (DEIJ) goals.
- Collaborate effectively to foster a welcoming school culture.

Qualifications
- Minimum 3-5 years of experience in a high-level administrative role, ideally in an educational or nonprofit setting.
- Bachelor’s degree or equivalent preferred
- Proficiency with Microsoft Office, Google Workspace, and task management tools including Asana, as well as knowledge of nonprofit governance preferred.
- Strong communication, organizational, and time-management skills, with the ability to handle multiple projects under pressure.
- High level of discretion and professionalism in handling confidential matters.
- Demonstrated ability to work independently while fostering collaboration.
