Job Responsibilities:
We are seeking an organized, detail-oriented, and proactive Office Coordinator to join our team. This role will be responsible for managing the day-to-day operations of the office, ensuring smooth communication between departments, and supporting administrative tasks. The ideal candidate will have strong organizational skills, the ability to multitask, and a passion for providing excellent customer service. Your key responsibilities include:
- Telephone & Communication: Answer calls, direct them appropriately, and take messages or return calls promptly. Respond to service inquiries and schedule appointments for assessments.
- Patient Records & Data Management: Collect financial data (e.g., insurance, Oregon Health Plan), enter into electronic records for verification, and scan signed admission documents. Maintain patient attendance records and rosters. Track payments, complete weekly deposits, and maintain office statistics.
- Coordination & Collaboration: Work with the Program Manager and other departments on patient intake, transitions, and health records. Assist with maintaining the outpatient group scheduler and managing patient appointments for counseling staff.
- Office Administration: Manage office supplies, ensure adequate stock, and notify the Manager of needed orders. Provide clerical support to the Manager as needed. Handle office faxes, scan relevant information into patient records, and notify the appropriate staff.
- Compliance & Confidentiality: Maintain compliance with MOTS, HIPAA standards, and confidentiality protocols. Ensure policies, procedures, and training manuals are current. Keep patient records confidential and out of view.
- Reporting & Documentation: Prepare monthly reports and track inquiry calls and emails. Ensure patient assessment and orientation packets are stocked and up to date.
- Safety & Training: Familiarize with and follow fire and safety protocols, as well as personnel and program policies. Attend and participate in training sessions, making adjustments to work hours when needed.
- Teamwork & Professionalism: Maintain positive working relationships with colleagues and referents. Perform duties with integrity, respect, and in alignment with Serenity Lane's mission statement.
Required Skills, Experience, and Qualifications:
Must-have:
- Ability to pass a drug screen and background check. Here at Serenity Lane our company standard is to provide a Drug-Free Workplace free of substances of abuse including Cannabis THC.
- Reliable transportation as this position will support our Albany and Salem locations.
- High school diploma or equivalent; additional administrative certifications or relevant coursework preferred.
- Proven experience in office management or administrative support roles.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving skills.
- Positive attitude with a focus on customer service and team collaboration.
- Ability to remain in a stationary position, often standing or sitting for prolonged periods.
Nice-to-have:
- Experience with office management software (e.g., Office 365, Google Workspace, or similar tools).
- Familiarity with basic bookkeeping or budgeting principles.
- Previous experience working in a fast-paced office environment.
Compensation: Starting at $17/hour.
