We are seeking a highly organized and proactive Lab Administrator to oversee laboratory logistics, manage operations, and support key aspects of our laboratory processes. Key Responsibilities:
Laboratory Logistics Management:
Oversee day-to-day laboratory logistics, ensuring optimal efficiency in operations.
Assist with supply and inventory management, including tracking and replenishment.
Handle shipping tasks, including shipment tracking of supplies to and from communities, with a focus on integrating UPS Healthcare services.
Accessioning and Client Communication:
Own all accessioning tasks, ensuring accuracy and timely follow-up on specimen discrepancies or missing information.
Serve as a primary contact for lab-related client support issues, providing clear and timely resolutions in coordination with the internal Operations (OPS) team.
Collections and Optimization:
Collaborate with stakeholders to enhance the efficiency of collection processes.
Address coding errors, obtain physician signatures, and ensure key metrics are met for successful reimbursement.
Training and Documentation:
Support the Lab Director in creating, updating, and distributing training materials, documentation, and Standard Operating Procedures (SOPs) for lab processes.
Assist the sales team with onboarding new clients, ensuring scalable and stable training/documentation.
Drive internal process improvements by collaborating with subject matter experts and technical teams to develop and refine processes.
Continuously monitor feedback to improve training materials and delivery methods, ensuring they reflect changes in products, processes, or company policies.
Revenue Growth and Client Experience:
Partner with sales and marketing teams to drive revenue growth and retention.
Collaborate with sales, marketing, and customer service teams to deliver a seamless and exceptional client experience.
CRM Management and Team Support:
Maintain strict adherence to CRM (HubSpot) for tracking and managing all client-related issues and processes.
Assist with initiatives driven by the Lab Operations team and contribute to broader diagnostics projects as needed.
Qualifications:
Proven experience in laboratory operations, logistics, or a related field.
Strong organizational skills and attention to detail.
Excellent communication and problem-solving abilities.
Proficiency in CRM tools such as HubSpot and familiarity with process optimization tools.
Experience with supply chain management and client support.
Ability to collaborate across departments, including sales, marketing, and customer service.
