Position Title: Educational Technician IV

Reports to: Supervisor of Schoolhouse Planning
Work Schedule: 261 Duty Days (12month)
Salary Schedule: 36F – 12-month
Position Purpose: School House Planning Ed Tech IV will work with the Supervisor of Schoolhouse Planning, Department staff and District Administration on all things pertaining to the Schoolhouse Planning Department. The primary duties include maintaining all Schoolhouse Planning financial data to include but not limited to processing invoices developing Purchase Orders and Requisitions in PeopleSoft system, organizing, and updating of Schoolhouse Planning project requests, assisting with tracking and scheduling of Schoolhouse Planning and District Projects and initiatives. This position will work closely with Schoolhouse Planning project managers, vendors, and District staff and perform administrative and general office duties.
Qualifications
- Completion of standard high school diploma or equivalent with completion of college coursework desirable, or any equivalent experience or training which provides the required knowledge, skills and abilities.
- Knowledge of fund accounting principles and payment tracking.
- Exceptional keyboarding, approximately 60 words a minute, with ability to learn and effectively use various software, i.e. PeopleSoft, Microsoft Office Suite.
- Possess a high level of independence. Decision-making, accuracy, and constant attention to detail is imperative.
- Strong organizational and time management skills, including the ability to handle multiple projects while maintaining all deadlines.
- Ability to maintain strict confidentiality of information.
- Receive phone calls directed to Schoolhouse Planning and forward or log as needed.
- Knowledge of telephone switchboard, receptionist, and general office duties.
- Skills pertinent to positive human relationships and the ability to work effectively with staff members and community in a multicultural setting.
- Above average attendance.
- Excellent communications skills both written and oral.
- Working knowledge of O.P.S. procedures and policies, principles, and practices of the organization, preferred.
- Ability to operate various office equipment such as copier, scanner, and district phone system.
- Ability to plan and organize own work and set priorities.
- Ability to collect, alphabetize and file department documents.
- Familiarity with the construction industry is desired but not required.
- Familiarity with Facilities Management is desired but not required.
RESPONSIBILITIES
- Maintaining Schoolhouse Planning and special projects financial data for multiple departments to include but not limited to coding and processing billing receipts and P-Card statement reconciliation.
- Filing and distribution of bid documents, lease agreements, and contracts.
- Creation, distribution and tracking of purchase orders in PeopleSoft system. This includes the ability to assist other departments in various requests concerning the creation of and information pertaining to Purchase Orders as well as Requisitions.
- Processing of SHP work orders to include assigning, scheduling, and input of cost data and comments.
- Prepare, type, and proofread reports, letters, forms, schedules, and budget estimates.
- Coordinating activities such as meetings, pre-proposal walks, and training.
- Assist in scheduling and communication of Construction projects for various project managers and/or Supervisor within Schoolhouse Planning with District Staff and contractors/consultants.
- Prepare, type and proofread reports, letters, forms, schedules, budget estimates, proposals, specifications, various construction related forms, etc.
- Receive phone calls directed to Schoolhouse Planning and route call, respond to general questions, or log as needed.
- Serve as back up person for telephone switchboard, receptionist, and general office duties. This includes covering for other secretaries at the Service Center at various times to keep office functioning in a professional manner.
- Organizing and maintaining up to date insurance certificates for vendors working for the District.
- Assisting with collection and filing of construction documents to include and not limited to, project billing, bonding information, insurance information, security information, contracts, operations and maintenance manuals and invoices.
- Assist in reviewing project requests submitted to SHP for acceptance and creation of a work order or acceptance and routing to other departments.
- Work with management on maintaining (as well as developing) policies and procedures as it pertains to SHP and District Facilities.
- Work with SHP and Facilities Administration to develop and maintain project templates and workflow tracking for construction/remodel projects.
- Assist in the maintenance, tracking, and updating of SHP master specifications and design guidelines. Assist in providing a bi-annual revision and digitally publish and provide to contractors and consultants working on District projects.
- Assist in the creation, distribution, and cataloging construction forms that will be used by District Staff and outside vendors and contractors.
- Create workflows with Construction managers to route project information to between team members, to implement data updates, and to archive information prior to project closeout.
- Maintain and share District protocols for gardens, tree plantings, playground improvements, landscaping, graphics, signage and similar school-initiated projects with School Administrators and outside organizations.
