POSITION SUMMARY
The Proposal Coordinator supports the Estimating department throughout the lifecycle of a bid proposal across multiple opportunities, working as a collaborative team member. This role entails coordinating proposal activities and managing tasks within the proposal process.
POSITION FUNCTIONS
- Enter and maintain accurate bid data in the company's software systems, including updates to changes, statuses, and relevant details.
- Manage and monitor the companys procurement sites used by customers.
- Serve as the central point of contact for bid activities, facilitating clear and effective communication among team members.
- Collaborate with subject matter experts and cross-functional teams including estimating, program management, and marketing to develop and refine bid deliverables.
- Review all proposals to ensure compliance with client requirements, performing final checks for accuracy, grammar, and completeness before submission.
- Manage and organize bid files, ensuring proper documentation and accessibility.
- Complete prequalification packages by gathering and coordinating necessary information from various sources including, but not limited to customer references, safety stats, job history, resumes, etc.
- Order and coordinate certificate of insurance, bonds, and other required documents.
- Submit contracts and associated documents to the Legal department for evaluation and approval.
- Monitor and assist with all bid-related documentation to ensure alignment with client specifications.
- Participate in estimating meetings, document key discussions, and prepare detailed meeting minutes.
- Prepare and manage mailings.
- Other duties as assigned.
