About the Role: As the Administrative Assistant, you will play a vital role in supporting our service teams, technicians, and management by handling various administrative tasks. Key Responsibilities:
- Greet visitors, answer incoming calls, and respond to inquiries in a friendly and professional manner, providing exceptional customer service at all times.
- Assist in scheduling service appointments, coordinating with customers and technicians to ensure availability and efficient scheduling.
- Maintain accurate and organized customer records, including contact information, service history, and any special instructions or preferences.
- Process and manage service requests, ensuring proper documentation, accurate data entry, and timely follow-up with customers.
- Coordinate with technicians and service teams to track job progress, update schedules, and address any changes or emergencies.
- Assist in generating and managing invoices, ensuring accuracy and timely submission to customers.
- Manage and maintain office supplies and equipment inventory, replenishing items as needed to support daily operations.
- Assist in preparing reports, presentations, and other documents as required.
- Handle administrative tasks, such as filing, scanning, and organizing documents and records.
- Support the coordination of training sessions, meetings, and events as required.
- Collaborate with other team members and departments to ensure effective communication and a smooth workflow.
- Uphold company policies and procedures, ensuring compliance with relevant regulations and guidelines.
- Manage Bookkeeping responsibilities and AP-AR (Accounts payable and Accounts receivable).
Qualifications:
- Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Excellent communication skills, both written and verbal, with a friendly and professional demeanor.
- Ability to work independently and collaboratively within a team, depending on project requirements.
- Strong problem-solving skills and the ability to think on your feet.
- Positive attitude, strong work ethic, and a commitment to delivering exceptional customer service.
- Familiarity with HVAC, plumbing, or electrical terminology and concepts is an asset.
- High school diploma or equivalent.
